The opportunity We’re looking for an organised, committed and motivated person, ideally with an coordinator/administration background or who is data minded, to support and provide high quality assistance to the Compliance team in maintaining the organisation’s asset management database. This role will provide support in maintaining components within the organisations database to the required minimum standard as set out by Government legislation and in line with Origin’s corporate objectives and Asset Management Strategy. You will work within the Compliance Asset Team to process and review data from various sources so that the system remains accurate and up to date with information that will help shape future investment programmes. You will provide administration support to support our data management through various tasks. Sending appointment letters, contacting customers, managing agents and staff to deal with customer queries and supporting the surveyors with administration tasks. You will have a meticulous approach to data with excellent communication skills. Ideally you will have knowledge of or be interested in learning about Housing asset management systems and understanding of regulatory compliance as well as social housing experience. You will be a team player, able to multi-task, managing varying priorities and deadlines. What you’ll do Take the lead Provide high level administrative support to the Compliance Manager Collecting, validating, inputting, reviewing, maintaining and analysing asset data. Processing asset information from various sources ensuring timely and accurate administration. Working across teams and departments to ensure data alignment and integrity. Supporting the production of asset reports and programmes. Keep well documented property records for assets and helping to build a portfolio of information relating to our activities. Give your time Managing queries, including triage of departmental requests, assigning and monitoring progress. Liaise with customers regarding survey visits, making appointments, responding to general enquiries and resolving customer concerns. Working with internal colleagues to coordinate data collection for completed works and database updates. Assisting with collation of handover information including data validation and document collation. Maintaining central storage of key property documents for ongoing reference. Bring people together Working with multiple departments to embed a data culture. Develop collaborative relationships with internal and external stakeholders. Be the departments Asset Information/system Champion, checking and accessing information and supporting colleagues. Working with third party suppliers in relation to data capture and entry into the system. Come forward with a can-do attitude Working with the compliance and asset Team to ensure data integrity. Assisting with the administration of a busy department and providing support. Produce accurate, well-presented documents using a range of systems, Word, Excel, PowerPoint, Access etc. Develop and maintain office systems, make suggestions, and present opportunities for change. Go the extra, extra mile Provide a helping hand to all colleagues and customers whilst providing excellent customer service. To assist with holiday cover as and when required. Display an interest in the Assets & Sustainability Team processes or a willingness to learn. Undertake other duties of a similar level of responsibility, as might be reasonably required. What you’ll need An organised and methodical approach You’ll need to demonstrate your experience of working and supporting a team. Previous experience in managing and handling data with the ability to stay calm under pressure and multitasking. Paying attention to detail and working efficiently, keeping accurate records, managing electronic filing systems, updating, collating, and presenting information to a high quality. A motivational approach Collaboration is highly important; you’ll need to demonstrate your experience of working and supporting a team, taking ownership and working to your own initiative. Relationship building skills We reach out to third parties to help us; you’ll need experience of working as part of a team and working with team members, other departments, and external customers, maintaining successful working relationships and being the first point of contact for queries Proven ability Paying attention to detail and working efficiently, keeping accurate records, managing electronic filing systems, updating, collating, and presenting information to a high quality. Adeptness in Technology We move things forward and get things done; you’ll need experience of Office Systems, Outlook, Word, Excel, Power Point, Access etc. and be confident with new software and IT systems. Confident Communicator You’ll need to be a confident communicator across all channels but, specifically, you’ll need experience of communicating with a variety of audiences, including internal and external customers showing a positive and friendly manner Do you share our values?
