About Us
Sister System’s purpose is to bridge the gap between care-affected girls (13-24yrs old) and mainstream society, by working alongside them for up to 9yrs; a longitudinal provision that no other service offers to ensure they have the same opportunities everyone else has - at home, school, work and within our communities. Our mission is to demonstrate that we need to change how we work with care affected girls, and in doing so change the hearts and minds of local authorities and other services to provide the support these girls desperately need to improve their life chances.
As we embark on our new, ambitious three-year strategy, we are seeking to broaden our new operations team to meet our increased demand, offering an exciting and rewarding role of Finance Officer. You will be joining us at a transformational time on our journey which is both demanding and presents a unique opportunity for the successful candidate.
Main purpose of job
To ensure the smooth day-to-day running of the finance function across all areas of Sister System and support the Director of Operations in preparing budgets, accounts and other reporting requirements.
To help drive forward the modernisation and digitisation of the financial management systems, creating and implementing processes that all members of staff are able to follow.
Main Duties
Financial Administration/Bookkeeping
• Manage all our financial data via QuickBooks – ensuring accurate and up to date records
• Process transactions including purchase ledger, sales ledger, nominal ledger, payroll journals, general journals; and help to resolve any related issues.
• Process bi-monthly pay runs and monthly bank reconciliation
• Support the Director of Operations with filing reports and notices with Companies House and the Charity Commission and take a leading role in the preparation of related information.
• Assist in the formulation and implementation of financial policies, procedures and controls.
• Monitor and review aged debtors and creditors with relevant colleagues.
• Maintain and manage schedules for depreciation, prepayments, accruals & deferred income – posting monthly and quarterly journals as required.
• Administer the fixed assets register
• Administer applications to our Empowerment Fund to support the girls on our programmes (including issuing supermarket vouchers, travel cards etc.)
• Respond to internal enquiries from staff and external enquiries from suppliers and contractors.
Payroll
• Work with the HR Manager (and currently an external agency) to accurately process monthly payroll for permanent and contracted staff.
• Manage HMRC and pension accounts
Reporting
• Support the Director of Operations in the preparation of monthly management accounts for the SMT and board
• Support with preparation of annual accounts and annual audit
• Provide expenditure updates for funder reports
• Ensure monthly management accounts accurately track restricted and unrestricted income, expenditure, and reserves.
Budgets
• Support the Director of Operations in the setting and monitoring of budgets and assist non-financial managers in interpreting, preparing and monitoring related information.
• Provide timely financial information to managers for effective budget management.
• Support and train Budget Holders and other staff in using financial information, systems and tools, and work with managers to resolve more complex issues and develop appropriate financial systems.
• Support the team to create accurate budgets for new funding applications
Other
• Monitor costs and periodically review suppliers to ensure value for money for the charity
• Other financial tasks that occur as the organisation grows and progresses
Organisational
• Attend meetings and liaise with colleagues as required
• Attend training relevant to the role
• Comply with all relevant Health & Safety Guidelines
• Work with colleagues to actively promote the work of the charity and participate in fundraising
• Put our service users and stakeholders needs at the heart of all services and activities
• Uphold and promote the Mission and Values of the Charity
• Undertake any such appropriate duties as directed by the charity from time to time
Key contacts and relationships
• Internally the post holder will report directly to the Director of Operations and work closely with the CEO and Senior Management Team.
• Externally the post holder may have to manage relationships with a range of financial stakeholders including suppliers, customers, grant awarding bodies, grant recipients, donors and statutory agencies.
Person Specification – Finance Officer
Essential
• Proven ability to support a significant finance function in small to medium-sized organisation
• Experience of working with accountancy software (ideally QuickBooks)
• Excellent computer skills including using key Microsoft Office 365 packages
• Experience of supporting the preparation of annual accounts and organisational budgets
• Sound understanding of the differing requirements of management accounts and statutory accounts
• Highly organised and methodical. Ability to create and implement new processes.
• The ability to work effectively as part of a team as well as alone
• Excellent communication skills with the ability to coach and support non-financial staff in developing their financial skills
Desirable
• An appropriate financial qualification or currently studying at immediate level for a financial/management qualification.
• Experience of financial administration in the charity sector
• Experience of using digital tools to modernise a finance function
• Knowledge of FRS 102 Charities’ SORP
