Working in partnership with our service partners, Guy’s and St. Thomas’ Hospitals, King’s College Hospital and Princess Royal University Hospital we aim to set the standard for the future of pathology. Job overview You will join a small team of HR and Change professionals, working as part of the larger Synnovis HR Team, to help lead a critical organisational consultation change programme transitioning through 2023-2024 This will see the effective transfer of employees at Synnovis from their current organisational structure to a new target operating model of Hub and Spoke, where 70% of tests will be completed in the Hub and the remaining 30% of more critical tests will remain in the spokes (or Essential Services Laboratories). You will be acting as the go to person on all the relevant documentation related to the organisational consultation programme. We are half-way through the biggest transformation programme SYNLAB has undertaken, with over 1500 colleagues in Synnovis, joining us on the journey to create a world leading pathology service for Southeast London patients. It is a pacey environment, where people are focused on achieving transformation milestones against challenging timelines, and customer requirements. This is a critical role in supporting the business and HR teams in delivering a critical element of the organisational change programme. It is important you are able to operate self-sufficiently, be focused on the tasks at hand and be the trusted administrator in the room, offering expert administrative support, a highly confidential environment, where the end-to-end consultation process can be delivered, accurately, on time and within the agreed parameters in a professional, empathetic and supportive manner. Main duties of the job Primary responsibility is focused on supporting the HR Change team on the complete end to end HR administration service in respect of the organisational change programme, covering documentation creation, validation, and storage, maintaining governance and compliance, appropriate maintenance of records and ensuring managers have access to appropriate information as required for the programme. Detailed job description and main responsibilities To maintain the highest standard of confidentiality throughout the consultation process, only discussing the consultation programme with those identified directly to you by the HR Change and Employee Engagement Lead or HR Change Partner. Preparation and processing of standard and bespoke documentation including all letters and forms required for consultation as per the agreed parameters. Maintain oversight of the key HR processes involved in consultation to ensure administration requirements are adhered to in line with agreed policy, process and practice and governance systems. Support the HR Change team and managers to maintain the processes required to conduct consultation in line with agreed principles. Develop relevant systems and documentation that support the recording and monitoring of key activities within the consultation process, including setting up HR recording processes and spreadsheets, transferring information to the HR database in an accurate and timely manner as require. Maintain all employee data as required for the consultation process including ensuring that all governance processes are adhered to, and checks put in place to satisfy audit requirements. Ensure all information is appropriately checked, validated, and confirmed as accurate prior to any information being presented to employees and managers or recorded in HR systems. To provide comprehensive HR administrative support such as minute taking during formal and other HR meetings and support for challenges, appeals and any form of consultation as required. To assist in the administration of any organisational consultation project or activity either individually or in conjunction with colleagues within HR and or transformation. Ensure all internal HR policies, processes and practices are maintained in line with agreed internal requirements and rules. Support wider HR Change team with any additional requirements To be pro-active in improving organisational consultation processes, ensuring legal compliance. To adapt to changing business needs, re-prioritising as necessary and working closely with the HR Change team to ensure an effective and high value service is provided to our customers across the HR function. To work collaboratively with the wider HR team to ensure standard processes and procedures are understood, complied with, and amended as required. To support the HR Change and Employee Engagement Lead and HR Change Partner, in the continuous development of the administration element of the organisation consultation programme, ensuring processes and procedures are efficient as possible. To act as a point of contact for managers and staff when they require advice and guidance on HR organisational consultation processes and procedures but not to provide advice on employee relations related issues. To liaise with recognised trade unions and employee bodies/representatives of the Company as directed by the HR Change Team, as necessary and with trade unions subject to recognition as a part of the consultation. Support the development of the content required to conduct consultation including all relevant training material, line manager packs, employee packs, whilst supporting the Comms and Engagement Lead in developing suitable narrative and content for the consultation portal. Support the HR Change team with the development of the employee documentation, working as part of the team for reviewing, adapting, checking, and producing the final physical documentation for employees i.e., consultation letters. Ensure all managers are equipped at all times with all the material required to conduct consultation according to the agreed timeline and process and capture consultation fully, so that it is recordable and stored appropriately. Be an ambassador for the function representing HR internally and externally (as appropriate) Essential Skills and Experience: Educated to GCSE standard with A-C attained in maths and English or equivalent Administration experience ideally within an HR and/ or recruitment environment Previous experience of working with confidential, sensitive data Experience of contribution to the delivery of projects and interventions. Excellent interpersonal skills Excellent IT skills with good experience of MS Office Suite particularly Word and Excel. Excellent communication and listening skills and ability to communicate with varying levels of managers and staff accurately both written and verbally Excellent attention to detail, high degree of accuracy and a "right first time" approach and presentation skills. Excellent organisational skills with the ability to multi-task and prioritise workload from multiple channels to best meet deadlines and changing priorities. Self-motivated individual who is able to require minimal supervision and is happy to take responsibility for management of own tasks.
