What you’ll do Internal communications (~2 days per week) There’s always lots of great things going on at Unifrog - from the millions of students we’re helping to find their best next step after school, to the team culture we’re building that makes us a certified Great Place to Work. As our first Internal Communications and Events Lead, you will play a key role in engaging, informing, and inspiring our team with what’s happening at Unifrog. You’ll also help us to work even better together, and retain a happy and effective team. Your main responsibilities: Coordinate our whole team comms: Work with the Head of People and Finance and the Leadership team to create: An internal comms strategy, with yearly goals and objectives. An annual comms calendar. Design and create our first internal Unifrog newsletter, which will bring several team updates under one roof and let everyone know what’s been going on across the team. Build strong relationships with the team to identify relevant stories, issues, and projects that can be supported or shared more widely to promote cross-team collaboration. Collate data from team surveys and work with the People and Leadership teams to put ideas from the team into action. Gather feedback and evaluate engagement to continually improve our comms. Improve the way that we communicate: Develop guidelines and regularly share tips for using Slack and Gmail with the aim of maximising productivity and collaboration. Audit our Slack user groups and channels to make sure they’re working as effectively as possible. Support and train line managers with how to communicate with their teams. Research, trial and train our team on new comms and project management software when appropriate. Keep our key internal documents up-to-date and our Dropbox folders organised. Work with our Recruitment Lead and Marketing team to shout externally about what’s going on at Unifrog, sharing photos and stories on our website and social media. Internal events (~2 days per week) Now that Unifrog has almost 100 team members across the UK and beyond, it’s more important than ever that everyone feels connected, both to each other and to our wider mission. That’s why we have multiple in-person and virtual meet-ups throughout the year, to: recognise and celebrate team successes; share best practice across teams; map out future projects and priorities; and take a break from work to do something social. Your role will be to make sure that all of our Unifrog meet-ups are of the highest quality. We currently have: Three whole company “team days” per year (in person) Two “away days” per team per year (also in person) A number of socials at our London office An increasing amount of remote socials (including buddy groups and a book club) Your main responsibilities: Plan our whole company team days (your first project will be to help plan our biggest team event of the year - our summer team day in July): Find and book venues, social activities, and meals (with the support of your line manager), and make sure everything’s set up and runs smoothly on the day. Manage group hotel bookings with support from our People Assistant. Keep the team in the loop about what they need to know about the day. Work closely with our CEO and the leadership team to decide on the team day agenda and format, and help them finalise their slides for the day. Manage the budget. Support senior managers to plan their away days: Advise on venues, socials, training, and agendas. Manage the booking process. Facilitate cross-team collaboration by suggesting and coordinating guests from other teams. Evaluate our team events and continually look to improve their impact and quality. Plan office socials throughout the year, at first just for our London HQ but with scope to do this for our growing Edinburgh and Hong Kong offices as well. Plan socials that bring together team members based remotely. This is a big focus for us as we have team members supporting partners all over the world. Work with our Recruitment Lead to shout about our great events, sharing photos and stories on our website and social media to build our employer brand. Working together You’ll be part of our People team alongside our: People Assistant, Recruitment Lead, People and Development Manager, and Head of People and Finance. You’ll also regularly work with a variety of other team members (especially line managers) when organising events. You’ll need to be able to build strong professional relationships with them to help deliver an excellent employee experience. You’ll be line-managed by the Head of People and Finance. What we’re looking for Experience in planning and delivering events (including virtual events). Experience in creating and implementing an internal comms strategy and delivery plan. Knowledge of emerging trends in internal communications. Strong verbal communication and presentation skills. Excellent writing and proof-reading skills. Ability to craft clear and powerful narratives from data and insights. Personable and able to build great professional relationships. Keen attention to detail. Excellent organisation skills. Comfortable working both as part of a team and independently, and happy to ask for support when it’s needed. Experience with Slack and Gmail is preferable but not essential. An interest in education, careers, and development. Proactive attitude and willingness to get stuck in. Key details £37,000 - £39,000 per year (pro rata) dependent on experience, plus a share in a company-wide performance bonus. Grade B. Part-time, 28 hours over either 4 or 5 days per week, with the potential to become full-time if desired (depending on company need). Split your time between working remotely and at our office in Hoxton, London. 28 days paid holiday per year (plus bank holidays). Working hours are 9:00am to 5:00pm, Monday to Thursday, and 9:00am to 4:30pm on Friday. Start date: as soon as possible, though we will be flexible for the right candidates.
