Job overview
Synnovis Group LLP is seeking a motivated Junior Contracts Manager to assist the SEL Core Contracts Manager on a variety of matters related to Synnovis’ core customer contracts.
A key element of the role is managing the new test process where Synnovis or the Trust require new clinical tests to be available to the Trust and/or the wider GP community. The successful candidate would be responsible for tracking these tests through the process to ensure that all required documentation is completed. Other aspects of the role include helping fulfill reporting requirements for senior stakeholder meetings (e.g. monthly preparation and distribution of reporting packs) and other day-to-day contractual obligations of Synnovis
The Synnovis core contracts are worth more than £200m annually across 7 core customers spanning 7 physical laboratory sites including some of the largest teaching hospitals in the UK. Contract variations and change controls submitted by Synnovis and/or the Trust are required to make changes to the core contract. The successful candidate would assist the SEL Core Contracts Manager by careful tracking of change controls to ensure that they are progressed and actioned appropriately. Change logs would need to be accurately maintained and actions recorded within the trackers.
Main duties of the job
Due to the scale and breadth of the core contract between Synnovis and the Trust, the role of a junior contracts manager will be a fast paced, exciting and challenging. As a cutting-edge pathology provider, it is important we work with the Trust to implement new clinically relevant tests. In order to do this more effectively, the junior contracts manager will take control of the new test process, and will work with the SEL Core Contracts Manager and IT to design and develop a streamlined process. As the junior contracts manager, you will be empowered to work with the relevant stakeholders in the organisation to ensure that tests are available on the LIMS for ordering and reporting and ensure all paperwork has been completed to align with the Synnovis billing process.
Any changes to contractual services or processes within the Trust need to be notified using the change control process. While this task is undertaken by the SEL Core Contracts Manager, the Junior Contracts Manager will be required to facilitate in this process by ensuring that all trackers and logs are kept up to date. These trackers feed into monthly reporting packs which are generated for main senior management meetings which occur monthly. The junior contracts manager will be responsible for constructing these decks for Operations Directors and the SEL Core Contracts Manager to present at the various sub-group and pathology management group (PMG) meetings.
Within the legal team we receive many Freedom of Information Requests which require careful co-ordination in order to turn them around in good time and contain all the requested information. The junior contracts manager will be responsible for the triage of such request to enable the legal team to deal with these requests effectively.

Detailed job description and main responsibilities
At Synnovis, we are currently shaping the future of pathology services by creating a world-leading Hub and Spoke pathology network with our NHS partners. A large part of this modernisation will involve moving 70% of our services to a purpose built, state of the art Hub laboratory in the heart of London.
For now, the job you are applying for will be based at one of our hospital sites however, from 1 April 2024 our people and services will start to move to our Hub laboratory in Blackfriars, Southwark, SE1, with some work remaining in refurbished essential services laboratories across our hospital network, focusing on the rapid turnover of urgent tests. Currently our offices are based in Paris Garden, Blackfriars SE1, or Francis House, Southwark SE1 however at present these are temporary locations. We expect to move to new offices in the Hub building located in Blackfriars in 2024.
Core Duties, Objectives and Person Specifications
Hold at least 5 GCSE (A-C) or equivalent and an NVQ with at least 3 years’ experience working in pathology.
Applicants educated to degree level in a biological science are highly desirable.
Contracts management is a challenging role and so applicants should be highly motivated and have excellent communications skills.
Supporting the SEL Core Contracts Manager in managing the new test process and ensuring all documentation is complete for new tests to go-live on the LIMS.
Facilitating clearing a backlog of new tests by working with the Trust, Synnovis IT and Finance Business Partners.
Supporting the Core Contracts Manager to design, implement and streamline the New Test Process in Service Now.
With support from the SEL Core Contracts Manager Complete and distribute key reporting decks to Synnovis and Trust stakeholders.
Administration and triage of FOIR/EIR received from the Trusts.
Finance and administrative support of new supplier set-up and invoicing
Maintaining and updating change logs.
Other administrative tasks to assist Core Contract Management/adherence to Synnovis obligations under the core contracts.
Adhere to Synnovis Health and Safety regulations.
Participate in an annual objective setting and appraisal process and be assessed against competences of the role.
Complete all statutory, mandatory and essential training within timeframes specified.
Although the Department is based at Paris Gardens, the post holder will be required to work periodically at other Synnovis sites and may be required to travel, with occasional overnight stays.
To attend team meeting at least once per quarter at Synnovis Corporate Offices.

Qualifications
Essential criteria
5 GCSE with either 3 A levels or GNVQ (intermediates).
Desirable criteria
Degree educated to at least 2:1 standard in a biological science.
Experience

Demonstrable experience working in clinical pathology and a good understanding of the different test types and clinical areas.
Understanding of contracts/contract obligations and stakeholder management.
