In this role you will be working with the Learning and Development team, supporting them with a number of activities associated with development opportunities for our workforce. Our Corporate office is situated 5 minutes from Southwark station you will have easy access to the vibrant South Bank and local amenities, however this role will be a mixture of working in the corporate office (at least 1 day a week, more during the initial training period), from home and attending other sites. Job overview The successful candidate will be the primary point of contact all activities relating to Learning & Development and to support the upkeep of the Learning Management System (LMS) Responsible for a wide variety of administrative activities from managing shared mailboxes and maintaining key documents (e.g. Development calendars) to taking minutes in internal and external meetings. Key Relationships · Director of HR and Internal Communications · Learning & Development Manager · Head of Talent · Learning and Development Officer and Coordinator · Scientific Training Officer · Payroll and Benefits Manager · Head of Internal Communications · Internal Communications Executive · HR Business Partners and Advisors · Recruitment Manager and Recruitment Team · Service Delivery / Operations Managers & Clinical Leads · Scientific Directors/ Laboratory based Training Managers/Training Leads · Internal and External Suppliers · Employees Main duties of the job · Providing admin support for the Learning & Development team. · Act as first reference point of contact for all L&D enquiries. · Ownership of departmental mailboxes ensuring emails are responded to in a timely manner and escalated where appropriate. · Working independently on Microsoft Word, Excel, PowerPoint and digital platforms. · Ensure that effective Learning and Development processes are developed, improved, and maintained. · Maintain and develop the Learning Management System (LMS). · Undertake the preparation and circulation of course materials and collateral for related training purposes. · Providing administrative support for the ACCE Training Programme (Currently named The Synnovis Way Development Programme). · Manage the training calendars. · Manage the compliance requirements and reporting for Synnovis statutory/mandatory training. · Assist in the coordination of the evaluation process and collate feedback reports from the LMS. · Maintain and report on the annual and half yearly employee appraisal process. · Update and maintain Development Synfo pages (intranet) · Support L&D communication channels · Regular attendance at daily/weekly update meetings. · To ensure that all Development records are maintained. · Getting involved with ad-hoc projects. Detailed job description and main responsibilities Currently our offices are based in Paris Garden, Blackfriars SE1, or Francis House, Southwark SE1 however at present these are temporary locations. We expect to move to new offices in the Hub building located in Blackfriars in 2024. Ownership of departmental mailboxes ensuring emails are responded to in a timely manner and escalated where appropriate ensuring all actions are completed with 5 working days Responsible for the management and smooth running of the corporate induction Undertake the preparation and circulation of course materials and collateral for training courses before and after events Manage training providers · Develop, maintain and manage LMS in its entirety, including the compliance requirements for statutory/mandatory training Assist in the coordination of the evaluation process and collate feedback reports from the Learning Management System (LMS) Record, maintain and monitor attendance at all L&D events through the LMS Book meeting rooms, set up rooms and events, including refreshments and IT equipment Assist with the generation and coordination of departmental finance procedures including raising purchase orders Develop plans and deliver a successful annual Scientific Learning and Development Funding process Responsible for the Management Passport process, add new starters/newly promoted Mangers, and record progress, ensuring timely completion Update and maintain L&D Synfo pages Provide admin support to the Learning and Development Manager and L&D Training Officer and L&D Co-ordinator Synnovis is a pathology partnership between SYNLAB UK and Ireland, and the NHS, including sites, Guy’s & St Thomas’ NHS Foundation Trust and King’s College Hospital NHS Foundation Trust, to deliver and transform pathology services across Southeast London. Person specification Qualifications Essential criteria Educated to good GCSE level in English, Mathematics, and IT. Desirable criteria Business Admin NVQ level 3 or equivalent within a HR Dept Experience Essential criteria Experience of working with Learning Management Systems Must have strong demonstrable skills using Microsoft packages (specifically Word, Excel, and PowerPoint and digital platforms) Experience of co-ordinating different processes and managing priorities to meet tight deadlines. Desirable criteria Experience of working in the heath sector Experience within a Learning and Development or HR Environment.
