DEPARTMENT DESCRIPTION
The key function of the Sales Department is to generate the maximum amount of revenue from Channel 4’s programmes and products.
The team work across a range of related functions, including commercial trading, business development, digital, partnerships, customer and agency sales, social, advertising operations and AV management.
The majority of Sales employees are based in London, where the role is based, and there is also a sales team of around 50+ staff in Manchester, and a number in Leeds.
JOB PURPOSE
To provide comprehensive PA support to Head of Sales Nations & Regions & Business Development, Customer & Commercial Leader (Nations & Regions), and Customer and Commercial Leader (Sales Development). Ensuring the smooth running of the team and their day-to-day workloads.
KEY RESPONSIBILITIES
Complete diary management and admin support, for allocated Senior Leaders and other team members on an ad-hoc basis, ensuring smooth communication using initiative to problem solve when required
Inbox management for the Head of Sales (N&R) and Business Development (Not required for CCL’s). Responding in a professional and timely manner.
Task list management for Head of Sales ensuring deadlines are met and changing priorities are flagged as required.
Arrange travel, accommodation & venue bookings in the UK and internationally
Arrange departmental day / overnight events – both client facing and internal (eg client entertainment / departmental away day’s) from end to end including all liaisons with external partners, managing invitations and ensuring smooth running on the day.
Arrange & coordinate internal and external meetings, including key management meetings, client, C4 staff, suppliers as well as meeting & greeting guests
Proactively organise rooms, equipment, IT support when required and all other required arrangements to ensure meetings at C4 run well (including ensuring flexible working needs are considered).
May be required to assist with workspace planning logistics
Help ensure leaders are properly prepared and on time for all meetings. Assist with the scheduling of multiple stakeholder meetings, both internal and external.
To provide all admin & logistical support, including processing & submitting expenses (including departmental invoices and company credit cards), reconciling team invoices, booking meeting rooms, venues, restaurants, taxis & catering, dealing with workspace on issues related to the team.
Build excellent relationships and co-work with the team EA, other PAs, EAs, (both internal & external) Genre Assistants. Ensuring collaborative communication and sharing workloads if required.
Preparation and coordination of meeting materials, updating meeting agenda, assisting with creation reports & presentations as required. Attend meetings and take minutes as required.
Organise events for the SLT and their wider teams, both client-facing and internal. Co-ordinate attendance and registration at conference/events as well as away-days, group travel and social activities
Assist / manage new joiners and work with HR admin to ensure a smooth process.
Assist with initiatives across the sales floor
Be a liaison between Head of Sales and Office hub with Workspace Team to understand and monitor key issues around the Manchester office.
Provide assistance with the creation of reports and presentations as required.
Build valued and trusted relationship with Heads of Departments and other senior members of the team and across the business in order to handle confidential matters appropriately and effectively.
Confident in managing several projects simultaneously, prioritising where necessary.
Provide general administration to the MCR & Indy Team Leaders as required
ESSENTIAL EXPERIENCE & SKILLS
Proven PA experience, working in demanding, fast-paced environment
Strong diary management experience with the ability to juggle busy schedules and conflicting demands
Ability to work closely and build a trust-worthy, collaborative relationship with EA’s and wider Commercial Team Pas.
Strong time management skills both with own workload and ensure meetings and plans run as scheduled
Excellent communication skills - both verbally and writing/proof reading
Flexibility: ability to manage key priorities and adapt to changing priorities and make any required rearrangements
Friendly manner and solid communication skills – adept at building and maintaining effective working relationships at all levels of seniority
Excellent organisation skills – ensure high attention to detail; independently manage own workload and prioritise effectively keeping relevant
Proactively identify and anticipate needs in advance, taking the initiative as required to ensure results
Experience working with highly confidential and sensitive information and materials
Ability to remain resilient & productive when dealing with pressure or challenges
Perseverance & commitment to get the job done & go the extra mile when needed
Positive attitude and willingness to learn Advanced MS Office skills – e.g. PowerPoint, Word, Excel, Outlook
Hybrid working:
From September 2023, C4 has operated a 60/40 working pattern, equating to three office days per week. Having everyone in the office three days a week gives us more opportunity to build our high performing, inclusive culture; to collaborate and to learn and share with each other, as well as helping to coordinate a regular pattern of home and office working days.
Employees then have the flexibility to decide where they spend the rest of the working week. All our offices are open five days a week.
Salary
Basic starting salary of £33,250.00 per annum, dependant on experience
