Job overview
This is an exciting time to join the Synnovis team. Synnovis formed a new pathology partnership with Guy’s and St Thomas,’ and King’s College Hospital NHS Foundation Trusts to deliver and transform NHS pathology services across South East London on 1 April 2021. The new partnership will provide diagnostics, testing and digital pathology services for hospitals, GPs, and other NHS healthcare providers, as well as for other consumers across the UK.
We are looking for a Project Management Officer to join an expanding team in a fast-paced and exciting transformation portfolio. You will be collaborating with multiple stakeholders across the transformation programme and with senior colleagues to support the delivery of complex programmes and projects with critical delivery timeframes. The role requires confident, competent, and experienced project professionals who are available immediately to join the team.
The role involves working across the Portfolio Management Office (PMO) to provide proactive administration and support for PMO and Project Managers enabling Synnovis to be an exemplar in Project Management, as seen by our strategic partners, stakeholders, and staff.
The role will require you to hit the ground running and be able to multitask, work under pressure and to tight timelines, and be a self-starter using your initiative and best practice processes. Have a flexible and adaptable approach, with excellent organisational and communication skills, including liaising with Senior Stakeholders. You will have the ability to deliver and maintain standards in response to changing priorities and be calm under pressure accommodating changes as required. You will be comfortable in developing and maintaining a suite of project documents, supporting meetings, and working well with a broad range of colleagues. You will thrive in a busy team environment and quickly assimilate the role requirements and implement them.
The Portfolio Project team work well together and support each other in the delivery of projects, working closely with colleagues across the organisation and the Trusts. Currently, we are working remotely and visiting the office/labs as and when required. In the future, we will be adopting a hybrid working model with a mix of remote and site-based working depending on the needs of the individual projects.

Main duties of the job
The PMO supports the delivery of projects across the complex transformation programme by setting standards and processes and facilitating sharing of resources, methodologies, tools, and techniques.
This role exists to support the management of Synnovis’ project portfolio by leading on the key process for the PMO including:
· Provide portfolio-level reporting, narrative, and analysis to senior management.
· Collaborating with stakeholders across the business to ensure that end-to-end resourcing of the portfolio roadmap is efficient.
· Leading on tracking portfolio delivery through collation and interrogation of highlight reports from across the Portfolio roadmap
· Conducting project quality assurance meetings in line with the agreed Project Quality Assurance Framework.
· Other duties as commensurate with the post and demands of the PMO.
Working for our organisation
From 1 April 2021, Synnovis became responsible for the day-to-day delivery of pathology services, which are at the core of the new partnership. Colleagues across SYNLAB, Synnovis and the NHS are working together to achieve the shared vision of developing an integrated, world-leading hub-and-spoke pathology network. Service transformation will be completed by 2024 and will see us build on the strengths and good practice within today’s Synnovis service.
The new partnership will improve ways of working for clinicians and scientists and will also deliver better value for money for the NHS.
As well as delivering pathology services and in line with the NHS’s own clinical vision and strategy, we will transform existing hospital-based laboratory and diagnostic services into an integrated hub and spoke pathology network.
Our state-of-the-art ‘hub’ laboratory will be at Friars Bridge Court, in Blackfriars Road, London, providing access to improved services and equipment for routine and some specialist testing. On-site hospital laboratories will become essential services laboratories (the spokes), focusing on the rapid turnaround of urgent tests, such as those needed for A&E departments.

· High degree of computer literacy, particularly able to use Microsoft 365 tools including Outlook, PowerPoint, Project, Visio, and other communications software
· Skills in data management, analysis and reporting skills including preparing, updating, and presenting reports, with a keen eye for detail and accuracy

Duties and Responsibilities
· Production of quality reports, presentations, and documentation to illustrate portfolio progress, deliverables, risks, and demand mapping to enable decision-making at board levels
· Management of portfolio documentation to retain delivery knowledge and lessons learnt required for running successful projects within the PMO
· Lead on the development of frameworks, tools, and processes for portfolio & project management, drawing on the skills, experience, and expertise within the PMO
· Support the PMO Lead and the project community in continuously improving the portfolio and project management process and documentation
· Lead and administer the project department’s SharePoint and Teams site and act as the gatekeeper in maintaining a common filing architecture across the portfolio
· Ensure that project plans and documentation are complete to the PMO standards and advise on appropriate action if needed.
· Maintain and version control all PMO artefacts and processes.
· Maintain an overall filing convention and ensure appropriate use within the PMO
· Signpost project managers to the PMO procedures and templates
· Maintain a PMO reporting calendar and support the timely preparation and distribution of reports
· Undertake information gathering to support the programme reporting as directed by the PMO Lead
· Responsible for the collation and maintenance of all programme and project data in the project file
· Support the PMO in conducting programme health checks
· Assist the PMO Lead in the preparation of presentations and associated documents
· Provide ad hoc support to other members of the PMO
· Facilitate internal and external programme communications and engagement with key stakeholders.
