Job overview
Due to an increase in recruitment activity on our Staff Bank, we are looking to onboard a Senior Staff Bank Administrator, on a fixed term basis to be the main point of contact for our Staff Bank Administration team. This role is crucial in coordinating the work within the Staff Bank Administration team to ensure delivery timeframes.
The post holder will be instrumental in working with the Staff Bank team to coordinate and implement the best approach to ensure effective delivery, whilst maintaining an awareness of improvement.
Main duties of the job
You will be responsible for the daily and weekly distribution and oversight of workload within the Staff Bank Recruitment Administration team. You will be first point of contact for all workload related queries within the team and ensure the team comply with the agreed SLA’s. Working closely with the Resourcing Advisor team, you will regularly communicate and update on the development and progress of individual candidate onboarding stages.
The day to day duties will involve updating various databases and trackers, monitoring multiple inboxes and working predominantly off our Applicant Tracking System, Trac, which is used extensively across the healthcare sector. You’ll be drafting employment contracts and handling incoming queries, supported by a small and friendly team.
While your role will remain hands on with administrative tasks, you will gain a proficiency in the recruitment administrative duties becoming the subject matter expert for the team. You will be encouraged to highlight areas of development and work with senior members of the team to implement plans of improvement.
You will have gained experience working in Recruitment Administration, specifically within temporary recruitment or in house Staff Bank recruitment. You will demonstrate a solid understanding of the recruitment journey with expert knowledge and experience of the pre-employment check process.

Detailed job description and main responsibilities
Duties and Responsibilities
Coordinating, distributing and delivering the end to end recruitment process including; posting job adverts, preparing offer letters and contracts, conducting pre-employment checks on all new employees which includes checking ID documents and requesting and following up references to make sure that the employee files are compliant
First point of contact for all Staff Bank recruitment queries and any issues that arise
Undertake recruitment administration as required using the electronic applicant tracking system, currently Trac
Work with the wider HR teams (HR and Payroll) to ensure Bank new starters are set up in a timely manner
Ensure all changes to terms and conditions are communicated to the Payroll and HR
Ownership of departmental mailboxes ensuring emails are responded to in a timely manner and escalated where appropriate.
Creating and filing accurate personnel records for Bank staff, ensuring the electronic file is kept up to date with all required documentation
Ensure the Staff Bank recruitment database/ tracker is accurate and kept up to date
Support the permanent recruitment admin team as required
Work in conjunction with managers and HR to address any concerns
Support the Staff Bank Resourcing team in the use of online platforms e.g. LinkedIn, Reed to search for prospective candidates and Screen CV’s and qualify applicants over the phone
Effectively deploy bank workers to varying assignments using the Clarity technology to facilitate this process
Maintain availability of Staff Bank pool of candidates, selecting appropriate candidates to fill requirements and assign on the Staff Bank system, currently Clarity

Contribute to the central HR team, its objectives and strategy
Undertake any other duties or projects appropriate for the job, as required by the Recruitment & Staff Bank Manager
At Synnovis, we are currently shaping the future of pathology services by creating a world-leading Hub and Spoke pathology network with our NHS partners. A large part of this modernisation will involve moving 70% of our services to a purpose built, state of the art Hub laboratory in the heart of London. For now, the job you are applying for will be based at one of our hospital sites however, from 1 April 2024 our people and services will start to move to our Hub laboratory in Blackfriars, Southwark, SE1, with some work remaining in refurbished essential services laboratories across our hospital network, focusing on the rapid turnover of urgent tests. Currently our offices are based in Paris Garden, Blackfriars SE1, however at present this is a temporary locations. We expect to move to new offices in the Hub building located in Blackfriars in 2024.

Previous experience of working with confidential, sensitive data
