In this role you will be working in the Talent team, supporting them with a number of activities associated with the talent development lifecycle. You will be responsible for delivering an efficient and accurate administration service, helping to ensure that our people are kept informed, motivated, and excited about our evolving business. We are going through an exciting period of transformation, which has resulted in this position now being full-time. Our Corporate office is situated 5 minutes from Southwark station, you will have easy access to the vibrant South Bank and local amenities, however this role will be a mixture of working in the corporate office (at least 1 day a week, more during the initial training period), from home and attending other sites. Main duties of the job The Talent team is part of the wider HR Department based at our Corporate Office, soon to be moving to our Hub in Friars Court, Blackfriars. You will be working alongside the Head of Talent, Scientific Training Officer, Scientific Training Coordinator, and the Apprenticeship and Placement Coordinator. We are a small team, with people development at the heart of what we do. You can expect to be responsible for a wide variety of administrative activities from managing shared mailboxes, developing and improving processes, maintaining key documents (e.g. External Training calendar and Talent tracker) to organising events for our Talent programmes. Detailed job description and main responsibilities At Synnovis, we are currently shaping the future of pathology services by creating a world-leading Hub and Spoke pathology network with our NHS partners. A large part of this modernisation will involve moving 70% of our services to a purpose built, state of the art Hub laboratory in the heart of London. For now, the job you are applying for will be based at one of our hospital sites however, from 1 April 2024 our people and services will start to move to our Hub laboratory in Blackfriars, Southwark, SE1, with some work remaining in refurbished essential services laboratories across our hospital network, focusing on the rapid turnover of urgent tests. Please do ask your recruiting manager if you wish to find out more. · Providing admin support for the Talent Team · Act as first point of contact for all Talent enquiries · Ownership of departmental mailboxes ensuring emails are responded to in a timely manner and escalated where appropriate. · Working independently on Microsoft Word, Excel, PowerPoint and digital platforms · Ensure that effective Talent processes are developed, improved, and maintained. · Maintaining Talent Tracker with starters/ leavers/ movers and generating monthly and quarterly activity report · Supporting Apprenticeship programme/T-Level administration - apprenticeship travel and accommodation bookings · Maintaining Laboratory Accreditation Database Undertake the preparation and circulation of programme materials and collateral for related training purposes. Managing the administration for ‘Grow our Own’ Initiatives such as the Graduate Training Programme and the Quarterly Application process. Manage the talent and external training calendars. Manage the compliance and reporting requirements Managing the administration of the networking events Booking rooms, updating posters and comms for Roadshows, Career Clinics and other internal/ external events Update and maintain Talent Synfo pages (intranet) Support Talent communication channels Collate article and produce monthly newsletter (Canva) Organising by-monthly Training Lead Meetings including creating the agenda/ and taking minutes Regular attendance at daily/weekly update meetings. To ensure that all Talent records are maintained. · Getting involved with ad-hoc projects. · Contribute to the central HR team, its objectives and strategy. Interviews will be held week commencing 23rd September 2024 Person specification Qualifications Essential criteria Educated to good GCSE level in English, Mathematics, and IT. Desirable criteria Business Admin NVQ level 3 or equivalent within a HR Dept Experience Essential criteria Must have strong demonstrable skills using Microsoft packages (specifically Word, Excel, and PowerPoint and digital platforms) Experience of co-ordinating different processes and managing priorities to meet tight deadlines Experience of working autonomously with minimal supervision in a fast paced environment Desirable criteria Experience of working in the heath sector Experience within a Learning and Development or HR Environment.
