About the Role
The Administration Manager is responsible for the day-to-day running of the practice, combining hands-on administrative duties with on-site management of the practice team. This role requires strong leadership to guide the team in achieving QOF targets, key performance indicators, ICB targets, and CQC compliance. You will personally carry out key administrative tasks including registrations, deductions, referrals, prescriptions, and document management. You will own the rota and locum cover to ensure the practice is always adequately staffed and act as the first point of contact for system access, IT, and premises issues.
Key responsibilities include managing all salaried clinical and administrative staff, providing leadership and guidance, allocating work, setting standards, and maintaining safety netting procedures. You will establish good working relationships through regular one-to-ones and team meetings, handle performance and conduct issues, and manage attendance and leave monitoring systems.
You will maintain compliance with HR legislation, develop succession plans, induct new staff, and identify training needs. Managing the clinical and staff rota on EMIS, booking locum cover, and handling all related administration are essential.
Additional duties include processing patient registrations, managing medical records, referrals, prescriptions, DNAs, and patient documents. You will triage the practice email inbox and online consultations, promote patient online services including the NHS App, and administer private reports.
Managing patient complaints, overseeing the Patient Participation Group, supporting recall lists and vaccination campaigns, and reporting performance figures are key elements of the role.
As Registration Authority sponsor, you will manage user access to clinical systems and resolve IT issues. You will also maintain premises health and safety, security protocols, stock management, and cold chain logs.
The role requires adherence to safeguarding, information governance, health and safety policies, and participation in mandatory training and appraisals. There is potential for promotion to a more senior role within 6 to 12 months based on performance.
Experience
Proven experience in practice administration and team management is essential. Experience with EMIS clinical systems is required. Strong knowledge of HR legislation and practice management procedures is highly desirable.
About you
You are an effective leader with excellent organisational and communication skills. You have the ability to manage multiple priorities, work collaboratively with clinical and non-clinical teams, and maintain high standards of service delivery. You are proactive, approachable, and committed to supporting staff welfare and patient care.
Qualifications
Relevant qualifications in administration, management, or healthcare administration are advantageous but not mandatory. A willingness to undertake mandatory training and continuous professional development is expected.
