About the Role
As an Ambulatory Care / Care of Older People Administrator, you will play a vital role in supporting clinical teams and ensuring smooth administrative operations within the department. Your responsibilities will include registering and greeting patients on arrival, answering telephone calls politely and courteously while identifying yourself and the department, and dealing with queries face to face, by telephone or email. You will be responsible for ordering patient notes for admissions and doctors’ perusal, ensuring accurate data entry of patient information across all systems, and amending patient and GP details as required. Booking appointments and monitoring team email inboxes to ensure tasks are completed will also be key duties.
You will identify referrals from various services such as GP, EDDI, ICE, and LAS, ensuring they are booked daily onto the Careflow system. Additional responsibilities include managing office supplies effectively, logging IT issues and notifying the Lead Administrator, maintaining tidy workstations, and ensuring porters collect confidential waste and health records bags.
You will gain a comprehensive understanding of the Careflow EPR computer system, providing support to new and existing users. The role also involves booking and cancelling Patient Transport and Interpreter services as appropriate, providing administrative support to all clinical staff on duty, and promoting the department’s goals in line with Whittington Health’s objectives. Working as a responsible and effective team member, you will support colleagues, highlight issues, suggest potential solutions, and contribute to team and departmental discussions aimed at service development and modernization.
Experience
Previous administrative experience within a healthcare or similar environment is desirable but not essential. Experience with patient data systems and appointment booking is advantageous.

Qualifications
No specific qualifications are mandated; however, proficiency in IT systems and data entry is important. A willingness to learn and adapt to new systems such as Careflow EPR is required.
