About the Role
This role is responsible for the billing and Work In Progress (WIP) management on a portfolio of clients, acting as the gatekeeper of the jobs. Reporting into the Commercial WIP Manager Lead, you will manage all job openings and closings, ensuring best practice is applied throughout the job lifecycle. You will be part of a dynamic team focused on embedding best commercial practices at the heart of all agency business transactions. Close collaboration with Commercial Managers, other Commercial WIP Managers, and agency client teams is essential.
Key Responsibilities
Job Management
- Ensure adherence to the job opening process
- Manage and follow up on jobs with client teams in a timely manner
- Explain job processes to client teams and their importance
- Regularly meet with client teams to review open jobs
- Work with Commercial Managers to optimise Workday usage for each client
- Ensure timely billing aligned with client and internal processes
- Maintain a log of Credit Notes and obtain necessary approvals
- Advise Commercial Managers if client teams do not follow processes or miss WIP reviews
- Prepare reports comparing job time value versus fees invoiced
- Review open Purchase Orders and advise teams to close when appropriate
- Ensure correct job closure with Project Manager sign-off and profitability review
- Confirm job setup complies with Commercial Control guidelines and documentation
- Allocate WIP balances on Workday
- Review foreign exchange gains/losses on jobs and take action to clear balances
Client Contracts
- Conduct credit checks on new clients
- Set up new clients in Workday
- Ensure Workday Masterdata accuracy
- Understand and ensure adherence to VAT rules per client
- Understand and enforce foreign currency policies per client
Net Working Capital (NWC) Management
- Liaise with Finance Plus Debtors to resolve debtor issues
- Proactively review WIP and escalate issues to avoid NWC provisions
Compliance
- Ensure compliance with ICFR regulations in relevant areas
- Assist with ICFR and client audits
- Raise queries on unclear or duplicated compliance areas
- Adhere to all internal procedures and policies
- Enforce Purchase Order policy, highlighting breaches to Commercial Managers
Other Responsibilities
- Promote best practice in system use and assist in Workday training for new client team members
- Run ad-hoc Workday reports for brand teams
- Support ad-hoc requests from Commercial Managers
Experience
- Media experience preferred or experience in a service-oriented business with a commercial focus
- Familiarity with Billing, WIP, and Net Working Capital management
