This is a hybrid role and we are looking for candidates whose commute to the place of work is less than 1 hour.
This is a temporary role, initially 2-3 months. Please do not apply if you are seeking a permanent position.
This role requires CTC clearance, this must be already held and active – we are unable to consider any candidates who do not hold this level of vetting currently – please do not apply if you do not have this clearance.
Skills & Experience required:
Basic knowledge of contracting and grant-making processes, and an awareness of the challenges faced by domestic abuse survivors.
Experience of maintaining a system, preferably within the context of contract management or administration.
A process-driven and methodological approach, with excellent organisation and administration skills.
Ability to be flexible and a willingness to pivot priorities, to meet MOPAC’s fast-paced environment.
Proficiency in Microsoft Excel is essential, including the ability to use basic to intermediate functions for data management ( Excel) and analysis.
What's involved with this role: Support MOPAC in the successful delivery of the Domestic Abuse Safer Accommodation (DASA) duty, and provide support to the DASA Contract Performance Team as needed.
Take the role of administrative coordinator; work in an organised way to support the work of the DASA Contract Performance Team, to anticipate needs and identify potential problems in the day-to-day work of the Team before they become issues.
Key responsibilities:
Under the guidance of the Contract & Grants Manager, monitor progress against the programme plan, communicate key deadlines and coordinate progress towards them.
Provide administrative support for team meetings and maintain a log of team activities.
Collate, organise and present monitoring data in a suitable way so it can be reported to a range of stakeholders.
Manage and respond to queries coming into central email inboxes, and monitor these inboxes by responding to straightforward queries and coordinating responses to more complex queries.
Build relationships with commissioners, suppliers and staff across the organisation, GLA and other relevant organisations, in relation to DASA.
Manage the appropriate filing of team documentation (Teams and SharePoint) and ensure quality and consistency in the look and format of all template documents owned by the DASA Contract Performance Team, maintaining these documents in a central location.
Maintain a list of key provider contacts.
Prepare, proofread, and send contract and grant agreement documents electronically. Monitor their progress towards execution and take action to ensure this is completed in a timely manner.
Produce meeting agendas, take minutes, and arrange meetings with internal and external stakeholders.
Set up purchase orders, check and approve invoices, and provide guidance around payment to providers.
