About the Role
QuantumLoopAI is transforming how patients access NHS primary care through its AI-powered reception system, EMMA, which serves millions of NHS patients and helps GP surgeries manage demand, reduce phone queues, and ensure patients receive the right care at the right time. As we prepare for our Series A funding and expand our team, we are seeking a Customer Onboarding Specialist to own the end-to-end onboarding process for new GP surgeries from signed contract to full go-live.
In this pivotal role, you will be the operational backbone of our growth, managing multiple onboarding projects simultaneously, coordinating compliance, and ensuring every practice is live, configured correctly, and delivering results. You will work closely with NHS practice managers, engineering, and product teams, reporting directly to the COO and CPO.
Your responsibilities will include managing onboarding timelines, coordinating compliance documentation such as DCB0160 and DSPT, maintaining accurate records in CRM and project management tools, troubleshooting blockers, and contributing to the continuous improvement of onboarding processes as we scale.
Experience
- At least 1 year of experience in coordination, operations, project management, or customer onboarding roles. Candidates with strong backgrounds in administration, customer service, or account management will also be considered.
- Proven ability to manage 20+ concurrent onboarding projects with exceptional organization and attention to detail.
- Experience working with multiple systems including CRMs, spreadsheets, and project management tools.

- Right to work in the UK without sponsorship.
- Commutable to Canary Wharf for a full-time office-based role.
Qualifications

- Familiarity with NHS compliance processes such as DCB0160, DSPT, or data protection requirements.
- Experience with CRM and project management platforms such as HubSpot, Salesforce, Monday.com, or Asana.
- Experience building or improving operational processes in a startup or fast-growing environment.
- Experience working directly with external clients or stakeholders in a professional services or onboarding capacity.
