About the Role
As a Dental Receptionist at King's College Hospital NHS Foundation Trust, you will be the first point of contact for patients and visitors attending the dental services. Your responsibilities include welcoming and receiving patients, accurately capturing and updating patient details within the Epic system, and providing general advice about services and referrals to both patients and healthcare professionals. You will manage appointment scheduling, cancellations, and rebookings for specialist nurses and consultants using Epic, ensuring all appointment outcomes are recorded correctly.

You will organise additional patient services such as interpreters and transport as required, and support clinic flow management by tracking patient movements and adding necessary activities in Epic. Effective communication with clinicians and the multidisciplinary team via secure chat is essential to ensure smooth clinic operations.

Additional duties include monitoring waiting lists, reviewing end-of-day reports to identify unsigned visits, escalating issues to the Service Manager, and managing rejected referrals. You will use dedicated scheduling work queues in Epic to manage appointment bookings, including partial bookings and patient-initiated changes via SMS or MyChart. You will also manage appointment communications through SMS confirmations and reminders, and handle all patient letters which are batch printed daily, inserting smart text instructions when necessary.

This role requires attention to detail, excellent organisational skills, and the ability to work collaboratively within a busy clinical environment to deliver a high standard of patient care and service.

Requirements

Experience
Previous experience in a reception or administrative role within a healthcare setting is desirable but not essential. Familiarity with electronic patient record systems, preferably Epic, is advantageous.

You have strong organisational skills, attention to detail, and the ability to manage multiple tasks efficiently. You are comfortable working with digital systems and can adapt to changing demands in a busy clinical environment.

Qualifications
No specific qualifications are required; however, a good standard of education and proficiency in IT systems is expected. Training on the Epic system and other role-specific processes will be provided.
