About the Role
As the GP Practice Reception Supervisor, you will supervise and support the Care Navigator team to deliver outstanding patient care and administrative support. You will ensure adequate staffing levels and provide cross-cover for other Reception Supervisors as needed. Your responsibilities include overseeing appointment scheduling, cancellations, and patient check-in processes with precision and professionalism, while maintaining accurate patient records and upholding confidentiality at all times. You will manage incoming calls, inquiries, and correspondence promptly to foster positive relationships with patients and external partners. Coordination with the Clinical team to facilitate smooth clinic operations and resolve scheduling conflicts will be essential. You will induct and train new staff members to the required standard and provide ongoing support to enhance team performance. Acting as the first responder to urgent issues such as telephone, EMIS, IT malfunctions, or clinical staff sickness will be part of your role. You will also assist in developing policies and procedures alongside the Operations Manager and act as a role model for staff. Ensuring maximum productivity from reception staff, carrying out staff appraisals and performance reviews, and ensuring adherence to Practice policies are key duties. You will liaise with the management team regarding staffing and work organization, collaborate with other Primary Healthcare Team members and outside agencies, act as Deputy Practice Fire Warden, chair reception meetings and take minutes, open and close practice premises as part of a rota, and monitor the reception area to maintain cleanliness, organization, and a welcoming atmosphere.
Experience
Proven experience in a supervisory or leadership role within a healthcare or reception environment is highly desirable. Experience managing teams and coordinating administrative functions in a busy practice setting will be advantageous.
