About the Role
We are seeking a dedicated Medical Secretary to provide 12-month cover at Jubilee Street Practice. The successful candidate will manage NHS e-Referral Service (eRS) workflows safely and efficiently, including processing referrals, worklists, Advice & Guidance, and Advice & Refer workflows, ensuring all actions are completed accurately and escalated appropriately. You will provide high-quality medical secretarial support by preparing, processing, and tracking referrals, correspondence, reports, and patient-related documentation to support clinicians and the wider practice. Coordination of clinical administration and patient communication is key, ensuring referral queries, hospital correspondence, advice outcomes, and follow-up actions are handled clearly, professionally, and within agreed timescales. Additionally, you will process Subject Access Requests (SARs), insurance and private report requests in line with confidentiality, information governance, and practice procedures. Maintaining accurate records, tracking, and governance by ensuring all secretarial work is recorded, tracked, and filed correctly on EMIS and other relevant systems is essential, with any risks, delays, or incomplete information escalated promptly. You will work collaboratively with clinical and administrative teams, acting as a key link between clinicians, patients, hospitals, external services, and internal teams to support safe, timely, and coordinated patient care. The role requires flexibility and professionalism within the wider practice team, maintaining high standards of confidentiality, accuracy, communication, and patient-centred administrative support. Participation in relevant practice Circles aligned to the role is expected, supporting shared accountability, service improvement, and delivery of agreed actions linked to secretarial, access, governance, or administrative workflows.
Experience
Experience in medical secretarial work or clinical administration is preferred, particularly familiarity with NHS e-Referral Service (eRS) workflows and EMIS or similar clinical systems.

You are organised, detail-oriented, and able to manage multiple tasks efficiently. You communicate clearly and professionally with clinicians, patients, and external services. You work well both independently and as part of a team, maintaining confidentiality and demonstrating a patient-centred approach. Flexibility and adaptability to changing priorities are essential.
Qualifications
Relevant medical secretarial or administrative qualifications are desirable but not essential. A strong commitment to ongoing professional development and adherence to information governance and confidentiality standards is required.
