About the Role
Please note this role is a 9-12 Month Fixed Term Contract. The Office Manager & PA to the Managing Director role is threefold: to provide professional and proactive support to the Managing Director; to support the smooth running of the London Head Office and drive engagement and fun with Head Office functions; and to support projects running across the business as needed. This role requires a well-organised, competent, and professional coordinator comfortable dealing with people at all levels and able to carry out various administrative duties with accuracy and speed.
The key accountabilities include comprehensive diary management, compiling reports, presentations, minutes and drafting internal communications, organising meetings and travel arrangements in line with the Global Travel Policy, and assisting with external events representing the Managing Director's interests.
Office support responsibilities include maintaining and developing office condition, coordinating cleaning, maintenance and repairs, acting as primary contact for external suppliers, ordering office supplies, managing internal communications and the bi-weekly newsletter, overseeing meeting room calendars, and ensuring meeting rooms are maintained to a high standard.
The role also involves planning and delivering all social events from concept to execution, managing event budgets and calendars, delivering a welcoming onboarding experience for new starters, and optionally serving as Office First Aider and Fire Marshall (training provided).
Additional duties include managing business travel and scheduling, acting as budget holder for travel, setting up new employees on the company travel tool Egencia, managing expenses and purchase orders, and supporting project management across the business.
Experience
Proven experience in office management or personal assistant roles is highly desirable. Experience working alongside senior management and coordinating multiple tasks in a fast-paced environment is essential.

You have excellent attention to detail and accuracy, strong communication and interpersonal skills, both oral and written. You are proactive, able to plan effectively and anticipate needs. You demonstrate maturity and professionalism to work alongside senior team members and adapt flexibly to meet business requirements.
Qualifications
Highly competent user of MS Office packages, particularly Excel and PowerPoint. Additional qualifications related to office management or administration would be advantageous but are not mandatory.
