About the Role
As the Operations Support Lead at Burney Street Practice, you will play a pivotal role in leading and supervising the administration team to ensure seamless patient services. You will work closely with the Senior Receptionist to manage reception staff levels, workload, and rota coordination, providing day-to-day support and guidance. Your responsibilities include conducting one-to-one meetings, appraisals, and return-to-work meetings as delegated by the Operations Manager, as well as supporting recruitment, induction, and training of new staff. You will oversee the daily running of the administration department, support reception during busy periods or staff shortages, and ensure all administrative tasks such as correspondence, registrations, referrals, and document workflow are completed accurately and on time.
In this role, you will also support governance and compliance activities, including maintaining CQC standards, NHS contractual requirements, audits, action plans, and mandatory training. You will promote compliance with GDPR, Information Governance, and confidentiality requirements, assist with risk assessments, business continuity planning, and health and safety compliance. Additionally, you will support quality improvement projects, monitor key administrative performance indicators, produce reports, and act as a key point of contact for the administration team. Collaboration with reception, clinicians, the wider practice team, and external organisations is essential. You will provide cross-cover for reception and administration when required and maintain patient confidentiality at all times.
This role requires a proactive, organized individual who can promote a positive, supportive, and collaborative working environment while ensuring operational excellence across the practice.
Experience
Proven experience in a leadership or supervisory role within an administrative or healthcare setting is highly desirable. Experience managing teams, coordinating workloads and rotas, and supporting recruitment and training processes is essential. Familiarity with healthcare governance, compliance standards such as CQC and NHS contractual requirements, and quality improvement initiatives is advantageous.
