About the Role
As a Paediatric OPD Ward Administrator, you will be the first point of contact for patients and visitors attending the outpatient department. Your responsibilities include welcoming and receiving patients, accurately recording details within the Epic system, and providing general advice about services and referrals to both patients and healthcare professionals. You will manage appointment bookings, cancellations, and rebookings for specialist nurses and consultants, ensuring all outcomes are captured in Epic. You will organise additional patient services such as interpreters and transport as required.
Clinic flow management is a key part of the role, involving tracking patient movements, adding activities to Epic, and using secure chat to communicate with clinicians and the multidisciplinary team to ensure smooth clinic operations. You will monitor waiting lists, review end-of-day reports to identify unsigned visits, and manage rejected referrals.
Using Epic’s dedicated scheduling work queues, you will handle appointment bookings, partial bookings, and patient communications via SMS and MyChart, including confirmations, reminders, cancellations, and change requests. You will coordinate patient care by monitoring patient tracking lists (PTL), booking diagnostics, inpatient stays, and pre-operative assessments throughout the patient pathway.
Additional duties include managing patient correspondence, conducting reminder calls to reduce non-attendance, and ensuring patient records and demographics are accurate and up to date. You will support clinical teams by managing inboxes, virtual clinics, internal correspondence, and clinic template amendments. Data management responsibilities include accurate input and maintenance of information on Epic and other management systems such as Medicus, PICANet, and Metavision, as well as supporting patients with MyChart registration and data quality workstreams.
This role requires excellent organisational skills, attention to detail, and the ability to work collaboratively within a busy clinical environment to support patient care and service delivery.
Experience
Experience in administrative roles within healthcare or similar settings is desirable. Familiarity with electronic patient record systems, preferably Epic, is advantageous.

You are proactive in problem-solving and able to work effectively both independently and as part of a multidisciplinary team. Qualifications
Relevant administrative or healthcare qualifications are beneficial but not essential. Training on Epic and other systems will be provided. A positive attitude and willingness to learn are key to success in this role.
