The Patient Access Coordinator will be the first point of contact for patients and service users, possessing in-depth knowledge of outpatient and inpatient scheduling procedures for their speciality. The role involves close liaison with clinical and speciality management teams to ensure patients receive timely and appropriate appointments according to their care pathways.

The post holder will rotate within the team to provide clinic reception cover, scheduling functions, general administrative support, and telephone cover to ensure patients consistently speak to knowledgeable staff and clinical teams are supported effectively.

Main Duties
- Provide administrative support to the Pre-assessment department
- Cover reception duties
- Book inpatient admissions and provide float cover for various admission services
- Provide theatre reception cover as needed
- Work with Patient Pathway Coordinator to manage patient bookings, waiting lists, and urgent referrals
- Act as a primary point of contact for patients and professionals
- Work on site during contracted hours and meet set KPIs
- Ensure accessibility to patients and colleagues

Additional Responsibilities
- Manage outpatient, elective admissions and appointment scheduling according to clinical urgency and Trust policies
- Liaise with patients to agree mutually convenient appointment times and send reminders
- Provide a welcoming and efficient reception service
- Accurately input data into clinical systems and liaise with medical and allied health professionals
- Develop expertise in speciality pathways and attend relevant meetings
- Ensure telephone and written queries are responded to promptly
- Support standards monitoring and investigate breaches
- Assist with coordination of multi-disciplinary team meetings and general office duties
- Participate in departmental development and meetings
- Undertake other duties as required to ensure smooth department operation

Work Environment
This is an on-site role based at the Trust. Flexible working is not available due to the reception nature of the position.

Requirements

Experience
- Proven experience in an administrative role
- Experience working in a customer-focused environment, able to handle difficult customers and challenging situations
- Experience within the NHS is desirable but not essential

Qualifications
- Good general education with English and Maths to GCSE standard or equivalent
- IT package qualification or training (Word, Excel, Outlook) is desirable
- Customer service qualification or training is desirable

Additional Knowledge
- Knowledge of key waiting times targets including 18 weeks RTT and 6 weeks diagnostics is desirable
- Experience using Trust systems such as Epic, PIMS, Galaxy is desirable
