You will join the IT team, responsible for providing a safe, secure, and reliable technology environment across Ofcom. The team supports core technology services, infrastructure, and systems, enabling Ofcom to deliver its strategic priorities.
As Personal Assistant to the IT Director, you will provide high-quality executive support to ensure the smooth running of the Director’s office. Acting as a trusted partner, you will manage competing priorities, coordinate key activities, and build strong relationships with stakeholders internally and externally. This fast-paced and varied role requires excellent organisational skills, sound judgement, discretion, and a proactive approach.
Your Key Responsibilities
- Provide comprehensive PA support including diary management, travel arrangements, expenses, timesheets, and general administrative tasks.
- Act as a professional interface between the IT Director, IT leadership team, and stakeholders.
- Manage a complex and demanding diary proactively, prioritising the IT Director’s time.
- Handle incoming correspondence, emails, and calls, responding or escalating as appropriate.
- Coordinate leadership meetings, governance forums, team meetings, including agenda preparation, logistics, and action tracking.
- Support preparation of briefing papers, reports, presentations, and meeting packs.
- Track and coordinate actions, decisions, and requests effectively.
- Exercise discretion and sound judgement with sensitive and confidential information.
- Build and maintain strong working relationships across Ofcom and with external partners.
- Collaborate with the wider PA and administrative community to share best practices and provide resilience.
- Lead coordination of team events, leadership off-sites, workshops, and engagement activities.
- Support administration across the IT function including purchasing, invoice processing, record keeping, and team coordination.
- Champion efficient working methods and support use of collaboration and productivity tools.
- Undertake general secretarial duties such as drafting correspondence, preparing minutes, maintaining documentation, and supporting ad hoc projects as directed by the IT Director.
Experience
- Extensive experience coordinating internal and external meetings, managing last-minute changes.
- Experience supporting senior stakeholders and acting as first point of contact.
- Proven ability to manage busy inboxes, prioritise and flag important communications.
- Proficient in MS Office suite and software such as Workday, SharePoint, and Co-Pilot.
- Comfortable and confident dealing with people at all levels, internal and external.
- Experience working with confidential and sensitive information.
