About the Role
This key leadership role at Strouts Place Medical Centre works alongside the Engagement Manager to ensure smooth and efficient practice operations. You will maintain comprehensive knowledge of each other's responsibilities to provide seamless cover during absences, with all processes documented to enable easy handover.

The role encompasses a broad range of responsibilities including finance and income management, payroll, enhanced services and commissioned income, governance and CQC compliance, information governance and data security, reporting and analytics, systems and digital clinical safety, premises and health and safety, as well as shared human resources duties.

You will manage NHS income claims, budgets, locum costs, and PCN funding streams while ensuring timely and accurate submissions. Payroll duties include processing staff hours, joiners and leavers, NHS Pension returns, and statutory payments. You will maintain live claims calendars for enhanced services and monitor service delivery against specifications.

Governance responsibilities include maintaining the practice risk register, ensuring CQC readiness, managing patient safety alerts, coordinating clinical audits, and overseeing policy and mandatory training compliance. You will also manage information governance, data breaches, data protection impact assessments, and subject access requests.

Reporting duties involve producing monthly partner meeting packs, maintaining live dashboards, providing exception reports, and analysing practice data to support improvements in patient access, capacity planning, and cost efficiency.

Systems management includes building delegable processes, maintaining the NHS practice website, supporting clinical safety documentation, managing IT infrastructure and digital tools, and supporting digital transformation projects.

Premises and health and safety oversight includes ensuring compliance certificates and risk assessments are current, managing RIDDOR reporting, clinical waste contracts, insurance, DBS records, fire safety arrangements, and premises maintenance.

Human resources responsibilities are shared with the Engagement Manager and cover recruitment, contracts, policies, performance management, absence monitoring, disciplinary matters, appraisals, and personnel records management.

Additional shared responsibilities include policy review and implementation, staff and partner meeting preparation and follow-up, IT and telephony liaison, contractor and supplier management, quality improvement initiatives, and maintaining CQC readiness.

Requirements

Experience
Proven experience in practice operations management or a similar healthcare administrative leadership role is essential. Experience with NHS income streams, payroll processing, governance, CQC compliance, and information governance is highly desirable.

Qualifications
Relevant qualifications in healthcare administration, business management, or a related field are preferred. Knowledge of NHS systems such as EMIS, SystmOne, CQRS, and payroll software is advantageous. A commitment to continuous professional development and understanding of current healthcare regulations and best practices is required.
