About the Role
As a Private Patient Billing Officer, you will be responsible for preparing accurate cost estimates for consultants and patients by completing cost estimate documentation using appropriate procedure codes and prices, referring to the current Private Patient Tariff. You will verify information provided by clinical departments such as Chelsea Wing, Endoscopy, and Private Outpatients by checking Cerner (Electronic Patient Records) and E-Proc systems before raising invoice requests. Your role includes collating and recording patient test and procedure details using the BUPA Schedule of Procedures and Private Patient Tariff, and maintaining individual patient invoice templates to ensure correct application of tariffs and contracted rates for insured patients.
You will prepare and verify supporting documentation from Admissions Officers and outpatient clinics, ensuring policy numbers, authorisation details, and guarantee letters of payment from embassies and insurance companies are included. Where information is incomplete, you will liaise with relevant departments to obtain necessary documentation.
The role involves processing private patient re-bill and credit note requests for inpatient and outpatient activity, including self-funded, embassy-sponsored, and private maternity cases, as directed by the Finance Lead. You will investigate and resolve billing and account queries received in person, by telephone, or email, handling patients sensitively and professionally.
Effective liaison with internal departments and external organisations such as insurance providers and embassies is essential. You will maintain accurate, organised, and up-to-date filing systems for all financial and patient-related documentation, ensuring strict confidentiality in line with the Trust's Confidentiality Policy and GDPR requirements.
You will develop and maintain proficiency in Trust financial systems including Compucare and other relevant IT systems such as Cerner Patient Administration System (PAS) to verify patient information and support financial processes. Additionally, you will provide cover for the Assistant Service Manager when required, supporting the day-to-day operation of the Private Patients service.
Processing payments securely from patients using debit and credit cards over the telephone by entering details directly into Compucare, issuing payment confirmations and receipts via email, and participating in the team rota to meet service needs are also key responsibilities.

Experience
Experience in billing, finance, or administrative roles within healthcare or similar environments is desirable. Familiarity with electronic patient records and financial systems such as Cerner and Compucare is advantageous.

Qualifications
There are no specific qualification requirements stated; however, proficiency in IT systems and a good standard of numeracy and literacy are essential. Training will be provided to develop knowledge of Trust financial systems and procedures.
