About the Role
We are seeking a friendly, organised, and proactive Receptionist & Office Coordinator to be the welcoming face of our London office. As the first point of contact for employees, clients, artists, and visitors, you will create a professional and positive experience while ensuring the smooth daily operation of the office. This varied, hands-on role combines front-of-house reception duties with day-to-day office coordination. You will work closely with the Facilities Manager, IT, People, and other teams to maintain an organised, well-presented, and collaborative working environment. Your responsibilities will include visitor management, meeting room coordination, office supplies management, event support, and new starter onboarding. This is a full-time, permanent position based in our London office, five days per week.
Key Responsibilities
- Provide a warm, professional, and welcoming reception service for employees, visitors, artists, and clients
- Act as the first point of contact for incoming calls, emails, deliveries, and visitors, handling enquiries efficiently
- Manage visitor check-ins, meeting room bookings, visitor passes, and reception areas to ensure a professional experience
- Maintain meeting rooms, breakout spaces, and communal areas, ensuring they are tidy, well-stocked, and ready for use
- Monitor office supplies, refreshments, stationery, and kitchen stock, placing orders as required
- Coordinate incoming and outgoing post, couriers, deliveries, and office shipments
- Support day-to-day office operations by liaising with building management, cleaners, maintenance providers, and other suppliers
- Assist with onboarding new starters by coordinating office inductions, desk setups, access cards, and welcoming employees
- Support organisation of office events, team celebrations, artist showcases, and internal meetings
- Assist with facilities administration including processing invoices, raising purchase orders, maintaining records, and supporting health and safety administration
- Provide general administrative support to the Facilities Manager and wider business as required
Success Milestones
By Month 3: Become the welcoming face of the office, confidently managing reception duties and building relationships across the business.
By Month 6: Independently manage day-to-day reception and office coordination, proactively identifying and resolving issues.
By Year 1: Be recognised as a reliable and proactive member of the Facilities team, contributing ideas to improve office operations and maintaining outstanding service.
Experience
Preferred previous experience in receptionist, front-of-house, office coordination, or administrative support roles.
