About the Role
We are seeking a Reservations and Space Coordinator to join our dynamic team at Rapport. In this role, you will be responsible for managing the EMS booking system, including creating and maintaining resources, locations, and booking configurations, while providing system support and troubleshooting to ensure smooth scheduling and reservation operations. You will also manage reservations for our managed spaces as part of the reservations team. This position supports an American global media, marketing, and corporate communications holding company.
Main responsibilities include serving as the main contact for EMS projects in the UK as directed by the Guest Services Manager or Director of Space Management, managing EMS Service Now tickets and ensuring timely responses, escalating service-related matters to the onsite client, preparing monthly reports and reviewing key EMS support metrics, managing end-to-end reservation processes, handling booking requests, and ensuring accurate scheduling of meetings and events. You will also effectively resolve meeting space related issues to minimize conflicts and provide elevated support using your knowledge of sites and agencies.

Experience
Experience in booking systems, facilities coordination, or administrative operations with a strong understanding of scheduling and resource management is essential. Proven ability to administer and configure system data (resources, locations, permissions) while maintaining high data accuracy and consistency is required.

You should be highly organised, detail-focused, and capable of balancing system administration tasks with a high-volume operational workload in a time-sensitive environment. Strong coordination skills are necessary, including managing reservations, resolving booking conflicts, and confirming details with users ahead of meetings. Effective communication skills with confidence in gathering missing information, managing stakeholder requests, and providing clear updates are vital.
