We are seeking a highly organised and motivated Apprentice Scheduler to join our team. This is an excellent opportunity for someone at the start of their career to gain hands-on experience while supporting the delivery of a high-quality repairs and maintenance service within the social housing sector.
Working in a fast-paced office environment, you will assist with planning and allocating repair, maintenance, and compliance appointments. You will liaise with residents, operatives, contractors, supervisors, team leaders, and managers to ensure all works are scheduled, monitored, and completed within agreed timescales and service standards, helping to deliver an outstanding customer experience.
This role provides a strong introduction to scheduling and coordination, where organisation, communication, and problem-solving skills are key. Full training and support will be provided. The position is offered as a two-year fixed-term contract, during which successful applicants will work towards the Level 3 Business Administration standard, gaining a nationally recognised qualification alongside practical, on-the-job experience and building a solid foundation for a long-term career within the organisation.
Key Responsibilities:
- Plan, arrange, and manage appointments for residents with trade operatives and subcontractors in a timely, efficient, and cost-effective manner.
- Allocate, monitor, and update all work orders using the company’s job management and scheduling systems (e.g., FLS/Dynamics), ensuring balanced workloads and maximised productivity.
- Collaborate with supervisors, operatives, and subcontractors to coordinate daily workloads, optimise routes, and ensure effective resource utilisation.
- Deliver excellent customer service, handling queries and requests professionally, empathetically, and efficiently.
- Accurately log, update, and maintain all job information within company systems, ensuring data integrity and correct time allocation for cost purposes.
- Record job completions, materials ordered, and operative notes clearly and promptly.
- Maintain logs and monitor variation requests.
- Produce performance updates to support operational efficiency and management oversight.
- Monitor and manage Work in Progress (WIP) for repair and maintenance tasks, ensuring jobs are tracked, completed on schedule, and meet quality standards.
- Ensure operatives correctly use and update PDAs and other digital tools for accurate job tracking and reporting.
- Prepare and distribute work orders for non-digital operatives at the end of each working day.
- Liaise with staff across departments to share updates and resolve scheduling issues efficiently.
- Follow all company policies, procedures, and work instructions, including those related to sustainability, health and safety, and environmental compliance.
- Provide information and updates to line managers as required, ensuring transparency and accountability.
- Support other schedulers and provide cover during absences to maintain continuity of service delivery.
Experience
No prior experience required; full training and support will be provided.

Qualifications
