About the Role
The Ward Administrator plays a vital role in ensuring the smooth running of administrative functions within the service. Key responsibilities include managing incoming and outgoing post, handling telephone and face-to-face enquiries with courtesy and professionalism, and providing accurate information while maintaining confidentiality and data protection standards. The role involves managing diaries, appointment systems, clinic lists, and room bookings, ensuring all staff are informed of appointment arrivals and that appointment systems are kept up to date. The Ward Administrator will also be responsible for typing correspondence, booking interpreters and translators, maintaining adequate supplies of forms and stationery, managing referrals and discharges, and updating patient information on IT systems including Rio. Additional duties include general office tasks such as photocopying, collating, laminating, and providing administrative support for presentations. The post holder will ensure office equipment is maintained, the reception and waiting areas are tidy, and will report any health and safety concerns. Flexibility to cover priority tasks and participation in team supervision, meetings, and training are essential. The role requires excellent verbal and written communication skills, the ability to remain calm in stressful situations, and the capacity to induct new staff to reception and administrative systems. The Ward Administrator is expected to undertake ongoing professional development and contribute to service improvements in line with Trust objectives.
Experience
Previous experience in an administrative or customer service role is desirable but not explicitly required. Experience in a healthcare or NHS setting would be advantageous.

Professional, courteous, and able to handle a range of queries from the public and other agencies with sensitivity and discretion. You must be able to remain calm and sensitive in difficult and stressful situations. Excellent verbal and written communication skills are essential. You should be flexible, reliable, and able to work effectively as part of a team. The ability to use initiative and exercise independent judgement within confidentiality and data protection guidelines is important.
Qualifications
Relevant administrative or IT training is beneficial. Commitment to ongoing professional and personal development is required, including attendance at training courses and participation in supervision and appraisal.
