About the Role
The Ward Clerk plays a vital role in supporting the smooth running of the ward by managing patient records, liaising with patients and staff, and providing essential administrative support. Key responsibilities include updating and maintaining accurate patient data on the EPIC computer system and manual records, conducting quality audits as requested by the medical team, and ensuring timely mailing of GP summaries within 24 hours of patient discharge. The role involves working as part of the inpatient clerical team and may require covering other areas within the Care Group depending on service demand.
The Ward Clerk welcomes patients and visitors, ensuring adherence to security and infection control measures. They manage reception duties including booking follow-up appointments, keeping patients informed of delays, and maintaining accurate attendance records. The post holder answers ward telephone enquiries efficiently and politely, resolves local issues, and liaises with ward managers and nursing staff to address potential problems.
Additional duties include booking outpatient appointments and patient transport, printing admission referrals, ensuring completion of patient surveys during transfers and discharges, and liaising with medical, nursing, and midwifery staff. For haematology outpatient wards, the Ward Clerk ensures Two Week Wait patients receive appropriate appointments and communicates this information within required timeframes.
Administrative responsibilities include opening and distributing mail, providing cover for other haematology clinical areas as needed, assisting with training new staff, ordering stationery supplies using materials management systems, maintaining the clinic environment, filing hospital records, and undertaking audits.
The post holder is expected to uphold health, safety, and wellbeing standards for themselves, colleagues, patients, and visitors, and to comply with all Trust policies, procedures, and statutory obligations. Experience
Previous experience in a clerical or administrative role within a healthcare setting is desirable but not essential. Experience with computer-based patient record systems, preferably EPIC, is advantageous.

You should be organized, efficient, and able to work well under pressure. Excellent communication and interpersonal skills are essential to liaise effectively with patients, visitors, and multidisciplinary teams. You must be polite, approachable, and able to maintain confidentiality at all times. Flexibility to cover other areas within the Care Group as required is important.
Strong attention to detail and the ability to manage multiple tasks simultaneously are key attributes. A commitment to upholding health and safety standards and Trust policies is required.
Qualifications
No formal qualifications are strictly required; however, proficiency in IT and data entry is essential. Training will be provided on Trust systems and procedures.
