About the Role
Guy’s and St Thomas’ NHS Foundation Trust is one of the UK’s busiest and most successful NHS trusts, providing specialist and community healthcare services across south London and beyond. The Wolf Clinical Research Facility (CRF) Administrator will join the Research and Development Team at Evelina London Children's Hospital, playing a key role in ensuring the smooth and effective operation of the R&D department.

The post holder will provide a warm, professional welcome at reception, managing visitor and staff enquiries both in person and via telephone. Responsibilities include managing patient study visit bookings, staff meeting bookings, and maintaining the reception area. You will coordinate CRF orientations, new starter inductions, security access requests, housekeeping issues, invoice processing, procurement of medical supplies and stationery, and maintain distribution lists and databases.

Additional duties include arranging and supporting meetings, taking minutes for regular and ad hoc meetings such as the R&D Paediatric Review Board and Departmental Meetings, providing cross cover within the R&D team, and assisting with events and conferences. The role requires excellent organisational skills, the ability to prioritise workload, and a professional, courteous approach to all interactions.

Requirements

Qualifications
Educated to A Level or equivalent. Administrative qualification is desirable.

Experience
- Experience in administration, preferably within a clinical or academic research setting.
- Experience maintaining booking systems (e.g. EPIC).
- Experience providing advice and guidance to the public.
- Experience in organising meetings, preparation and note taking is desirable.

Skills and Attributes
- Strong planning and organisational skills with the ability to manage multiple tasks.
- Proficient in Microsoft Word, Excel and Outlook.
- IT literate with ability to troubleshoot IT and AV equipment.
- Excellent communication skills.
- Flexible and adaptive approach to working.
- Ability to work independently and as part of a team.
- Excellent time management and ability to build positive working relationships is desirable.

About You
You will be professional, courteous and customer focused, able to manage competing priorities and deadlines effectively. You should be proactive, reliable and able to work independently within clearly defined guidelines. Experience working in a customer service environment is essential, and you should be comfortable interacting with a diverse range of staff and visitors.
