Introduction
The Customer Experience and Service Delivery Team supports the delivery of the House Service Strategy with the aim of delivering a comfortable, safe, and efficient environment for Members, their staff, and staff of the Houses to work in; as well as providing a welcoming and functional environment for all visitors to Parliament. Many of the services and projects the team lead on are delivered on a bicameral (House of Commons and House of Lords) basis.
The Role
This role is a fantastic opportunity to join the Customer Experience and Service Delivery Team, supporting a wide variety of Parliament's teams and services.
This role will involve providing proactive operational and administrative support to the Customer Experience and Service Delivery leadership team, and will deputise for the Senior Executive Assistant, when required.
Some of the responsibilities for this role include:
Responsibility for end-to-end management of directorate meetings, including: Prepare, collate, and circulate agendas and papers; Book meeting rooms and make catering arrangements; Meet and greet guests; Take accurate and concise meeting minutes, following up on all action points.
Provide proactive calendar and inbox management for shared mailboxes and support to the Senior Leadership Team, as and when required.
Draft communications, emails, and letters on behalf of the Senior Leadership Team.
Skills and Experience
To be successful in this role you will demonstrate:
Experience of: managing calendars, inboxes, appointments; organising and supporting meetings and taking minutes. Proficiency in using Microsoft software (particularly Outlook, SharePoint, and Teams).
Communicates clearly and delivers important messages with good manner, effectively and responds to strict deadlines.
Plans, prioritises, and monitors tasks in a systematic and organised way.
Ability to provide excellent customer service to internal and external stakeholders.
