About the Role
As an Administrator within Central and North West London NHS Foundation Trust, you will be the first point of contact for telephone enquiries from health professionals, service users, their families, carers and team members, some of whom may be anxious or face cultural or language barriers. You will process service-specific referrals within agreed timelines to avoid breaches and provide information and advice to service users via telephone, face to face, or in writing. Your role includes handling enquiries sympathetically, taking and passing on messages promptly, and taking necessary actions. You will regularly access generic email systems to respond to and action queries, provide administrative cover across ECP services, and manage time effectively to meet deadlines. Additionally, you will book interpreters to ensure equitable access for patients, format and send clinic letters and reports including imaging and test results, and cover front of house reception duties which may include opening and closing the reception area. You will undertake any other tasks commensurate with the grading of this post as required.
Experience
Experience in handling telephone and face-to-face enquiries in a professional and empathetic manner is desirable. Previous administrative experience within a healthcare or similar environment would be advantageous.
About you
You are an effective communicator with the ability to manage sensitive and sometimes complex enquiries. You are organised, able to manage your time well, and work efficiently under pressure to meet deadlines. You demonstrate empathy and patience when dealing with anxious or distressed individuals and are culturally sensitive. You are flexible and willing to provide cover across different services as needed.
Qualifications
Relevant administrative or customer service qualifications are desirable but not essential. A positive attitude, willingness to learn, and the ability to work as part of a multidisciplinary team are essential.
