Introduction The Governance Office is responsible for key corporate functions, including the Boards and Domestic Committees Secretariat, Strategic Planning and Performance, Parliamentary Safety, Information Compliance and Internal Audit. The Boards and Committees Secretariat provides secretariat services, support and advice to the Commission (and Members Estimate Committee), the Commons Executive Board, the Finance Committee, the Administration Committee, the Administration Estimate Audit and Risk Assurance Committee (and Members Estimate Audit Committee) and the Speaker's Advisory Committee on Works of Art. The team also works closely with the Restoration and Renewal Client Team to support Commissioners on the R&R Client Board. The Role There are two Committee Operations Manager roles in the Boards and Domestic Committees team. This role directly supports the Administration Committee and is an excellent opportunity to work closely with senior Members and Officials across the House. The Committee meets weekly, hearing from a wide range of officials on matters relating to the services provided by the House Administration. The Committee also undertakes occasional inquiries on services provided by the House. The postholder will be asked to support other boards and committees managed by the team from time to time. Some of the responsibilities for this role include: Lead on liaison with Members of Parliament, officials and witnesses as required, in relation to administrative arrangements for weekly meetings; Manage the collation and electronic distribution of committee papers; Updating the Committee Information System (CIS), a database used to manage formal meetings, for each planned meeting, ensuring it is up to date and contains the information required to produce a report at the end of the Parliamentary Session (which normally covers a one to two year period); Taking accurate minutes of meetings and, working with the Clerk, ensure these are regularly published. Skills and Experience To be successful in this role you will demonstrate: Ability to build good working relationships; to work inclusively and flexibly within a team and with a range of stakeholders to deliver high quality services. Ability to adapt style of written and oral communication to meet the needs of the audience, including senior colleagues. Ability to provide clear direction to others and checks for understanding, to encourage positive outcomes. Highly effective organisational skills with the ability to identify and adapt to changing priorities and work under pressure to demanding deadlines; monitors tasks in a systematic and organised way. Can plan and prioritise multiple activities effectively. Ability to use MS Office applications (especially Word, Excel, Outlook and SharePoint); has the capability to use and learn new IT and records management skills, including content management systems, inputting, retrieving and checking documents on databases. Ability to coach and advise others on the use of IT systems.
