Introduction
The Customer Experience and Service Delivery team aims to deliver a comfortable, safe and efficient environment for Members, their staff and staff of the House to work in; as well as providing a welcoming and functional environment for all visitors to the House of Commons. Catering Services sit within the Customer Experience and Service Delivery team and are responsible for the efficient operation of the House of Commons catering facilities within an agreed financial framework. The Role
Our in-house corporate events team is looking for an Events Administrator to provide administrative support to the Private Dining and Events team. The primary function of the role is administrative but given the nature of the team’s work will offer an entry level insight into event management.
Supporting the Member-Hosted Events Manager and the Commercial Events Manager, the successful candidate will be flexible, self-motivated, and energetic in their approach to work. Candidates will possess excellent customer services and organisational skills, a keen eye for detail, with the ability to multitask across several concurrent duties and projects.
Some of the responsibilities for this role include:
Assist the Events Team with administrative and various research tasks, answering the telephone and manging the team email inbox, acting as first point of contact for customer enquiries, qualifying leads, and progressing clients through the sales process. Liaise effectively and professionally with all contacts, both internally and externally. This may involve disseminating or collating information, or co-ordinating meetings.
Understand the importance of key business issues and be able to identify those items that are critical and need to be addressed immediately by the team and those that can wait until a later time or be dealt with by alternative means.
Generate and file hire agreements and other documents associated with the event booking process, including invoices and the recording of payments in the events management system.
Skills and Experience
To be successful in this role you will demonstrate:
Ability to prioritise tasks and a high level of organisation. Able to respond to rapidly changing circumstances at short notice and demonstrate flexibility under pressure.
Experience of investigating issues, identifying, or developing options and selecting solutions to problems which occur in the role.
Ability to create and maintain positive, professional, and trusting working relationships with a wide range of people within and outside of the team to help get business done, upholding the principals of equality, diversity, and inclusion.
Experience of delivering excellent customer service, with a good understanding of what this looks like and the ability to meet the needs of different groups and uphold the principles of equality, diversity, and inclusion.
