Introduction The Strategic Estates team manages the Parliamentary Estate delivering support and services to the House of Commons and the House of Lords. Their work encompasses a broad set of responsibilities, including the delivery of construction projects, the provision of specialist planning and design support, and the care and development of our internationally significant heritage collections, among others. We support the business of the House by providing central business support functions, as well as managing the administrative resource embedded within the other teams. The Palace of Westminster is the home of our democracy and a workplace for thousands of people. The building has played a unique role in our political history for 900 years but is in need of significant work to ensure it can continue to do so into the future. The Restoration & Renewal Programme has been established to deliver this important work. The Role The Estates Information Management Team (EIM) oversees Information Management, Digital Asset Management, and Information Security, and supports SE compliance and adherence with legislative requirements, industry standards and Parliamentary policies and best practice. The Information Management Assistant role will ensure information is readily accessible, considered trustworthy and logged for future record to maximise efficiency and avoid duplication of effort. Some of the responsibilities for this role include: Manage and coordinate Requests for Information (RFI) between R&R and SE working with colleagues to identify and find relevant information, enabling Parliament to respond efficiently and compliantly. Work closely with the SE R&R Integration Team to ensure RFIs are managed effectively, escalating issues, and supporting other Information Management activities in that team. Work with the central R&R RFI Clearing house (House of Commons Governance Office) to ensure compliance with agreed policies and processes for RFIs. Skills and Experience To be successful in this role you will demonstrate: Experience of responding to Requests for Information and demonstrable evidence of the use of Information Management tools & platforms (e.g., Aconex Common Data Environment, SharePoint, EDRM or similar) with experience of collating information from a variety of sources. Understanding of Data Protection, Freedom of Information, Legal Admissibility, and other compliance practices with experience of preparing, cleansing, and improving information sources in line with legislation and corporate policy. Experience of stakeholder engagement with business Information Asset Owners for the purpose of developing IARs/ROPAs and similar information asset management activities. Experience of working under pressure to tight timelines, where the accuracy and quality of outputs needs to be high. Experience of working collaboratively within a diverse team, promoting and maintaining an atmosphere of openness and acceptance to include principles of equality, diversity and inclusion.
