About the Role
As a Patient Administrator within the Ambulatory Emergency Care (AEC) Department, you will play a vital role in supporting clinical teams and ensuring the smooth running of clinics and procedure lists. Your responsibilities will include liaising with consultants, other administrative staff, hospitals, and GPs regarding patient appointments, referral letters, discharge summaries, and health records. You will prepare clinics by ensuring all relevant documentation and notes are ready, use Trust computer systems to generate clinic lists, locate missing notes, and manage electronic case note record tracking (CRT) to register, move, transfer, or locate medical case notes.

You will also prepare externally transcribed correspondence for signature and dispatch within agreed timeframes, ensuring accuracy by matching correspondence with the correct patient and clinician, making amendments as necessary, and filing letters in medical records. Providing specific advice to patients upon booking-in and ensuring all patients are added to the Trust’s PAS system before their appointment will be key parts of your role. Additionally, you will type urgent letters and reports as required, register new referrals, maintain up-to-date patient information, and book outpatient appointments.

This role requires excellent communication and organizational skills to support the Team Leader and practitioners effectively and contribute to high-quality patient care pathways and service delivery within the Trust.

Requirements

Experience
Previous experience in a healthcare administrative role is desirable but not essential. Experience using electronic patient record systems and managing clinical correspondence will be advantageous.

About you
You will be highly organized, detail-oriented, and able to work efficiently under pressure. Strong communication skills and the ability to liaise effectively with clinical and administrative teams, patients, and external healthcare providers are essential. You should be proactive, reliable, and able to maintain confidentiality and professionalism at all times.

Qualifications
Good standard of education including GCSEs or equivalent in English and Maths is preferred. Training will be provided on Trust systems and procedures.
