About the Role
The Patient Services Co-ordinator provides a vital combined front-of-house and administrative service to the Practice, acting as the first point of contact for patients and visitors while managing clinical and administrative correspondence, referrals, and processes that support patient care. The role requires flexibility to work across reception and administrative functions as directed by the Patient Services Manager, Practice Manager, or Deputy Practice Manager, adapting to current workload and staffing levels.

Key responsibilities include welcoming and directing patients and visitors, managing the front desk and telephone system, handling patient queries with respect and sensitivity, processing appointments and registrations, managing clinical correspondence and digital inboxes, triaging tasks, completing referrals and specialist administrative processes, and supporting non-NHS chargeable work.

The role also involves general administrative duties such as filing, data processing, ordering supplies, liaising with IT support, and maintaining a tidy and safe reception environment. The postholder will work collaboratively within the team, provide cover for absent colleagues, participate in training and development, and uphold strict confidentiality and information governance standards.

Additional responsibilities include safeguarding, health and safety compliance, supporting service improvement initiatives, and maintaining accuracy and quality in all administrative processes. The Patient Services Co-ordinator plays a key role in promoting the Practice vision through every interaction with patients, colleagues, and external organisations.

Requirements

Experience
Experience in a healthcare or administrative environment is desirable but not essential. The role requires strong organisational skills, the ability to manage multiple tasks efficiently, and experience in handling confidential information with discretion.

Qualifications
There are no formal qualifications required for this role, but completion of mandatory training and ongoing professional development is expected. Competency in relevant clinical and administrative systems will be supported through training provided by the Practice.
