About the Role
Reporting to the Group PMO Support Lead, the Project Administrator will provide high-quality project, administrative and organisational support across the Deputy CEO Directorate and its teams. You will work directly with Group PMO Support to ensure the effective day-to-day operation of the Directorate, coordinating key administrative, operational, planning and project activities. The role includes providing direct project and administrative support to PMO/Transformation Leads, programme management teams and identified programmes within the gesh Transformation Portfolio, supporting the delivery of transformation portfolio, strategy and business planning activities.

Key responsibilities include maintaining programme and project documentation, coordinating governance activities, monitoring and following up actions and milestones, supporting reporting requirements and helping to keep programmes and projects on track for delivery. You will also provide coordination and administrative support to relevant Clinical Strategy and Standards Groups (CSSGs) and other governance forums, facilitating effective collaboration and clinical working across the Group.

As a central point of contact for administrative support across the Directorate, you will enable effective communication and coordination to support the efficient delivery of operational activities. The role requires a clear understanding of how your work contributes to the Group’s vision of Outstanding care, together with the delivery of the Group strategy. You will be expected to embody the Trust’s values of being Excellent, Kind, Responsible and Respectful in all aspects of your work.

Additional duties include managing meeting logistics and secretariat support for Programme Boards, CSSGs, project meetings and Directorate meetings; supporting programme and portfolio planning, reporting, stakeholder engagement and communications; maintaining accurate and up-to-date documentation; supporting governance, version control and record keeping; monitoring progress and escalating issues; undertaking data analysis and research; and supporting recruitment administration and onboarding activities.

The role requires flexibility to work across programme and project teams within the gesh Transformation Portfolio and to respond to changing priorities and requirements, supporting the effective functioning of the Deputy CEO Directorate and delivery of its priorities.

Requirements

Experience
Experience in project administration, programme support or similar roles is desirable. Proven ability to manage multiple tasks, coordinate meetings, maintain documentation and support governance processes is important. Experience working within healthcare or NHS settings would be advantageous but not essential.

Strong communication and interpersonal skills are essential to liaise effectively with stakeholders at all levels. Qualifications
There are no specific qualification requirements stated; however, relevant administrative, project management or business-related qualifications would be beneficial. A good standard of education and proficiency in Microsoft Office and project management tools is expected.
