About the Role
Gardiner & Theobald (G&T) is an independent construction and property consultancy delivering world-class Cost Management, Project Management, and Specialist Consultancy services. We are seeking a forward-thinking Project Controls Manager to join our expanding corporate occupier Project Management Office (PMO) team. This diverse role offers opportunities to work with commercial occupier clients across various sectors and regions. Reporting to the PMO Partner, you will maintain efficient document control systems, track revisions, and facilitate document retrieval for internal and external stakeholders. You will support regular and ad-hoc reporting required by Project Directors to ensure world-class service delivery throughout project lifecycles. Working closely with Project Managers, you will monitor individual project activities feeding into client Programme or Portfolio works. This role provides exposure to all areas of Project Controls and Programme Management including reporting, cost management, risk and change management, and participation in meetings with project teams and senior consultant and client members.
Key Responsibilities
- Set project brief, strategic schedule, and procurement strategy under PMO Lead direction
- Track and report project progress and design/schedule changes, supporting risk mitigation
- Undertake regular project progress meetings and participate in client stakeholder meetings
- Implement and maintain standard document folder structures and templates
- Ensure confidentiality and quality assurance of project information
- Process and control all project document types, adhering to document lifecycle procedures
- Assist in audits and improve document management systems and processes
- Communicate procedural changes to project teams
- Liaise and distribute project information internally and externally
- Produce regular project reports for Project Directors
- Support training delivery on documentation and reporting protocols
- Monitor vendor performance and assist in vendor selection and contract management
- Manage project invoice processes and perform administrative tasks as required

Experience
- Degree educated (BA, BSc or equivalent experience)
- Experience in the construction industry, preferably with commercial fit-out project lifecycles
- Strong written and oral communication skills, able to liaise with stakeholders at all levels, lead workshops, and present to project teams
- Proficient in Microsoft Office suite
- Experience developing and updating schedules, project change logs, and risk registers
- Detail-focused, well organized, and able to manage workload and queries with a time-oriented approach
- Ability to proactively manage processes and build successful working relationships in virtual environments
- Ability to deliver high-quality work within challenging timeframes
- Experience with Microsoft Project, Asta Powerproject, PowerBI, Autodesk Construction Cloud, and Aconex is beneficial
