Introduction
The Chamber and Participation Team (CPT) provides the core services that facilitate Members' legislative and scrutiny work in the House of Commons Chamber, Westminster Hall, general committees and some related select committees, and engages the public with parliamentary business. It also includes the Interparliamentary Relations Office.
The Chamber Business team (CBT) within CPT comprises the Journal Office, Table Office, Vote Office, Public Bill Office, Private Bill Office and the Ways and Mean Office. CBT directly supports the work of the Chamber and General Committees.
The Vote Office is responsible for publishing and distributing parliamentary papers and other business documents in the House of Commons, including publications formally laid before Parliament. The Publications Enquiries team (PET) works with government departments and suppliers to obtain publications, particularly those relevant to Chamber business. It delivers a Chamber-facing distribution and print on request service to Members, their staff and House staff.
The Role
Publication Enquiries Managers work to support the Head of Publications Enquiries in managing and developing a team delivering front line services to Members of Parliament, their staff and other teams within Parliament.
Working from distribution points located next to the Chamber and in Portcullis House, you will be dealing with in person, email and phone requests for information and publications sometimes under pressure, in response to activity in the Chamber. You will be responsible for ensuring publications are appropriately stocked, use online information resources to identify and obtain publications and use high volume printers to produce hard copies when required. You will have an awareness of the current political environment and maintain effective relationships with government departments to ensure publications are available to Members.
Some of the responsibilities for this role include:
Manage Vote Office distribution points including managing team rotas, monitoring of laid papers and managing release of embargoed publications, and ensuring adequate stock of relevant publications through proactive liaison with Government officials, the internal Print Services team and contracted publication suppliers as well as parliamentary colleagues in procedural and other offices
Contribute to developments in service delivery, working with stakeholders in other teams to promote and enhance the work of the team and supporting colleagues as changes are implemented.
Respond to customers' face-to-face and email enquiries sometimes under significant pressure and support colleagues with complex enquiries
Manage the printing capability of the team (people and devices) and liaise with the Print Services team to ensure the printing of chamber related documents is managed efficiently and that good practice is embedded between the teams whilst ensuring that contingency arrangements are in place and understood
Skills and Experience
To be successful in this role you will demonstrate:
Substantial experience of providing excellent customer service in pressured situations, particularly in relation to responding to enquiries and requests for information with tact and diplomacy
Ability to lead on service delivery, particularly in new areas of work, with the aptitude to gain new skills that drive improvements to services or processes
Experience of managing people and developing their skills through mentoring and coaching
Ability to work successfully within a team, working inclusively and collaboratively with a diverse range of stakeholders to deliver services in a fast-changing environment
