About the Role
As a Research Administrator at the UK Health Security Agency, you will provide comprehensive administrative and reception support to Group Heads and their teams. Your responsibilities will include coordinating conference registrations, travel, transfers, accommodation bookings, and expense claims. You will assist with the LMS International Seminar Series, WIPs, and ad hoc seminars by devising visitor schedules, escorting visitors on site, contacting speakers, offering travel advice, and managing room bookings. Reporting to the head of the Research Administration team, you will collaborate closely with research support colleagues to provide effective cover during absences and manage core tasks such as reception duties, mail handling, telephone support, and facilities cover when required.
You will manage courier accounts including FedEx, World Courier, and Paramount, organising collections, chasing shipments, ordering materials, and liaising with Finance regarding invoices. Additional duties include raising purchase orders, processing invoices and expense claims, managing meeting room bookings and schedules, maintaining group notice boards, organising and servicing meetings including catering, and ensuring the office is fully stocked and appliances are clean and functional. You will also greet visitors, maintain the information management system for research programmes, handle electronic and hard-copy filing systems, and coordinate administrative meetings with LMS administrators, HR, and Purchasing. Participation in ad hoc projects as required will also be part of your role.
Experience
- Professional experience in administration
- Proven skills in diary and travel management

- High level customer service skills
- Proficiency in MS Office (advanced Outlook, Word including mail merge and formatting, Excel, PowerPoint, Adobe Acrobat)
- Good numerical skills and confidence in financial duties
- Excellent written communication skills with strong command of English

Qualifications
- Essential: Minimum of 2 A-Levels (Grades A-C) or equivalent experience
- Desirable: Scientific background or degree-level education
