Colindale, Edgware, London. This role is office based at the UK Health Security Agency Scientific Campus in Colindale. Please note hybrid working is not available for this role.

Hours
Full time. Participation in an out of hours on-call rota for 1 week in 6 is required.

Salary
£37,737 per annum, with an additional employer contribution of £9,451 towards the Civil Service Defined Benefit Pension scheme.

About the Role
The Vaccine Support Officer will provide essential administrative and operational support to the Rabies and Immunoglobulin Service (RIgS) at UKHSA Colindale. This cross-divisional service supports post-exposure treatment of serious infections and involves managing a busy telephone line with over 4000 calls annually from medical professionals. Key responsibilities include call answering, triaging requests, accurately recording information on CIMS, uploading risk assessment forms, and liaising daily with external stakeholders to ensure timely delivery of immunoglobulins and anti-toxins. The post holder will also manage multiple email inboxes, run regular reports, and provide administrative support including organising meetings, producing reports, and maintaining version-controlled documentation.

Additional duties include triaging pre-exposure vaccine requests, updating duty doctor packs, assisting with form development, inputting patient test results, supporting product recalls, managing online ordering and governance processes, maintaining the RIgS database (SQL), and effective communication with internal and external stakeholders. The role requires participation in internal working groups and projects, timely and accurate information analysis, and database development.

The role demands working under pressure, managing multiple tasks, and adhering to relevant policies and legislation. Security clearance at Counter-Terrorist Check level is required prior to appointment.

Requirements

Experience
- Significant administrative and secretarial experience within a public health environment, including developing, implementing, and maintaining office systems and handling sensitive information.
- Experience working under pressure, managing multiple tasks, and prioritising workload.
- Experience in database development and management.
- Proficient IT skills with advanced knowledge of Microsoft Office applications including Word, Outlook, Excel, PowerPoint, and databases.
- Experience using online Power BMI tools for ordering and tracking medical products.
- Experience communicating clearly and concisely both orally and in writing, selecting appropriate communication channels.
- Ability to work independently and as part of a team.
- Ability to participate in an out of hours rota to issue emergency medical products.

Qualifications
- Educated to degree level or NVQ level 6 in Business Administration, Management, or a related subject, or equivalent significant experience in a business administration role.
- Security clearance: must be able to pass a Counter-Terrorist Check (CTC) prior to appointment.

Desirable
