About the Role
This role provides flexible administrative support aligned with emerging priorities and capacity pressures. You will contribute to office cover during absences and become familiar with duties across teams to support business continuity during emergencies or high demand periods. Responsibilities include general office duties such as photocopying, post handling, organising stock, packing and posting survey supplies and vouchers, and managing telephone enquiries and communications. You will assist with the dissemination and collation of information and returns to support business operations in a timely manner and liaise with multidisciplinary colleagues across UKHSA.
The role may involve managing stock such as stationery and survey supplies, administering basic financial transactions on UKHSA systems including placing orders and receipting goods/services. You will contribute to maintaining office systems and efficiency, including contact databases, filing, archiving, and developing efficient paper and electronic filing systems. Data processing and inputting onto databases and case management/surveillance systems is a key part of the role. You will adhere to office security systems, legislation, clinical governance, and information security at all times.
Additional responsibilities include supporting the effective use and maintenance of office environments and systems, supporting the introduction of new systems, and organising comprehensive filing and spreadsheet maintenance in Excel. You will also be expected to adhere to all UKHSA policies and procedures and actively demonstrate the behaviours outlined in the UKHSA People Charter.
As UKHSA is a Category 1 responder under the Civil Contingencies Act 2004, you may be asked to contribute to preparedness and response activities for major incidents and emergencies as required.
Professional development is encouraged through appraisal and individual development plans, attending internal and external training events, and completing all mandatory training such as fire safety and information governance.
Key working relationships include regular communication with clinical and non-clinical staff, scientists, laboratory staff, managers, and corporate teams such as HR and Payroll. You may also interact with stakeholders and members of the public by phone or email.
Experience
Two or more GCSEs including English and Maths or equivalent qualification or equivalent experience in a similar data entry role. Experience using Microsoft Office software including Word, Excel, and Outlook is essential. Previous experience working in an office and/or reception environment is desirable.

Additional Requirements
Successful candidates must pass a Counter Terrorism Check (CTC) security clearance. Applicants should normally have been resident in the UK for the last 3 years to meet security vetting requirements.
