About the Role
As a Haematology Admissions Coordinator, you will play a vital role in ensuring the smooth and efficient management of patient admissions and outpatient appointments across haematology specialities. You will be responsible for monitoring admitted patient and outpatient waiting times to meet performance targets and proactively identifying potential breaches to escalate to the Service Manager. You will advise on capacity issues that may impact patient admission and appointment processes and ensure all referrals and outpatient appointment requests are processed in line with departmental procedures, including urgent two-week waits.

You will manage waiting list activity, admission data, and outpatient attendances using Trust IT systems such as EPIC, Galaxy, Medicode, and Trust activity reports, taking action to resolve any errors. Your role includes participating in clinic reception duties, welcoming patients, booking follow-up appointments, keeping patients informed of delays, and maintaining accurate records of attendance, departure times, and appointment outcomes while ensuring patient personal details are updated.

You will prepare clinics by locating and managing dental and hospital case notes, including lifting and transporting case notes as needed, and ensuring all necessary investigation results are available for clinic visits. Maintaining patient demographics to meet data quality standards is essential. You will also be responsible for amending, cancelling, and rescheduling admissions and appointments as directed.

Maintaining an electronic booking system is a key part of your role, coordinating dates with patients, GPs, GDPs, or the Booking Management Service according to electronic booking protocols. You will handle queries from GDPs, GPs, and consultants regarding patient admissions, appointments, and operating lists. Additionally, you will identify patient needs related to language barriers, anxiety, or carer/dependant issues and arrange patient transport for elective pre-assessment, admission, or outpatient appointments in line with Trust guidelines and policies. When required, you will ensure diagnostic tests are booked and appropriate outpatient appointments are made so results are available during clinic visits.

Requirements

Experience
Experience in healthcare administration or patient coordination is desirable but not explicitly stated. Familiarity with Trust IT systems such as EPIC, Galaxy, and Medicode is beneficial.

You are organized, detail-oriented, and able to manage multiple tasks efficiently. You have excellent communication skills to interact effectively with patients, clinical staff, and external healthcare providers. You are proactive in identifying issues and escalating them appropriately. You are capable of handling sensitive patient information with confidentiality and professionalism. Physical ability to handle case notes and push trolleys is required.
