About the Role
As a Payroll, Pensions, Expenses and Benefits Officer, you will be responsible for processing payroll transactions accurately and within agreed deadlines. You will manage new starter, contractual changes, transfers, and leaver transactions within ESR, ensuring employee data such as pay band, salary, contractual hours, cost centres, and employment details are validated and up to date. Your duties include processing overtime, enhancements, allowances, deductions, salary amendments, retrospective adjustments, and contractual changes, alongside undertaking payroll validation and quality assurance checks.
You will investigate and resolve payroll discrepancies, underpayments, and overpayments, reconcile payroll transactions and reports, and support monthly, supplementary, and year-end payroll activities. Processing Occupational Sick Pay, Statutory Sick Pay, Maternity, Paternity, and Adoption Pay in accordance with NHS Terms and Conditions will also be part of your role.
Additionally, you will handle NHS Pension Scheme opt-out requests, validate documentation, update ESR records, and maintain accurate records and audit trails. You will respond to pension-related enquiries and signpost employees to NHS Pensions for specialist advice.
Your responsibilities extend to processing travel, mileage, subsistence, relocation, and other authorised expense claims using Giltbyte Easy Expenses, ensuring appropriate approvals and documentation, and resolving queries. You will liaise with Finance colleagues to address discrepancies and support reconciliations between Giltbyte Easy Expenses, ESR, and payroll.
You will administer payroll-related employee benefits and salary sacrifice schemes, process related deductions and amendments, maintain accurate records, and support communication and promotion of Trust benefits including Perkbox. Responding to employee and manager enquiries and liaising with benefit providers and internal stakeholders will be essential.
Managing payroll, pension, expenses, and benefits cases through the Employee Service Centre (ESC) Portal and other channels, prioritising and processing cases within service standards, maintaining ownership through to resolution, and escalating complex cases when necessary are key aspects of this role. You will monitor caseloads and identify opportunities for service improvement to ensure a high-quality service delivery.
Experience
Experience in payroll processing, pensions administration, expenses management, and employee benefits is highly desirable. Familiarity with ESR and payroll systems, as well as experience in handling complex payroll queries and reconciliations, will be advantageous.

You are proactive in identifying and resolving issues and committed to maintaining confidentiality and compliance with relevant policies and regulations.
Qualifications
Relevant qualifications in payroll, pensions, or HR administration are desirable but not essential. A willingness to learn and develop your skills within the NHS framework is important.
