
Location
Hybrid working based at UK Health Security Agency core HQ in London. You will be expected to spend a minimum of 60% of your contractual working hours (approximately 3 days a week pro rata, averaged over a month) working at the office. The HQ is modern, newly refurbished with excellent city centre transport links and co-located with other government departments such as the Department for Health and Social Care (DHSC).

About the Role
The Business Support Officer will provide vital project support, financial and resource management, leadership, and communication within the UK Health Security Agency. You will assist project teams by maintaining project plans, supporting management information provision, and participating in working groups. You will support budget management in liaison with the Finance Business Partner, including overseeing orders and expenditure tracking using the FARM system, and assist with monthly and year-end account close down.
You will act as a positive role model and motivator, providing training, advice, and support within your area of responsibility. This includes line management duties such as appraisals, training, recruitment, and handling disciplinary or capability issues. You will supervise the business support team’s daily activities, which may include call handling and data inputting.
The role requires effective communication and relationship building with a wide range of individuals including clinical and non-clinical staff, scientists, managers, corporate teams, external stakeholders, and members of the public. You will manage communications via phone, email, and face-to-face interactions, deciding appropriate actions and responses.
Continuous personal and professional development is expected through ongoing education and the annual appraisal process to build skills and meet role competencies. You will adhere to all UKHSA policies and procedures, contribute to corporate goals, and may be called upon to support emergency preparedness and response as a Category 1 responder under the Civil Contingencies Act 2004.
The role holder will carry out any other duties reasonably required by their line manager. The job description and person specification may be reviewed to reflect changing organisational needs.
Experience
- Significant administrative/secretarial experience including developing, implementing, and maintaining office systems and handling sensitive information.
- Experience organising meetings, producing agendas, and taking minutes/action notes.
- Ability to work under pressure, handling multiple tasks and prioritising workload.
- Experience using finance systems and supporting financial analysis for reports.
- Ability to work independently to tight and changing deadlines.
- Strong IT skills with advanced Microsoft Office experience including Word, Outlook, Excel, and PowerPoint.
