About the Role
As the Pain Management Clinic Coordinator and Operational Support, you will oversee the patient journey to ensure that patients are scheduled in line with NHS principles and target waiting times, including the 18 Week Referral to Treatment and Cancer Waits targets. You will work closely with booking staff to expedite patient pathways where necessary and ensure cancellations are promptly rescheduled and recorded according to Trust policy. You will provide administrative support to consultant and clinical teams, including managing clinicians’ diaries and timetables. Your role involves attending regular meetings with consultant teams, MDT teams, clinical staff, clinical directorates, and general managers to support efficient service delivery.

You will manage referrals into the service, including data entry for patient registration, referrals, appointment information, and discharge. Liaising with health professionals regarding clinical decisions on referrals will be a key part of your role. You will upload correspondence and referrals onto the Electronic Document Management System (EDMS) and organise support for clinical staff to ensure the smooth running of the service.

Using your initiative, you will identify opportunities to streamline the work and responsibilities of the clinical team. You will be responsible for the day-to-day management of Medway Clinic diaries, supporting clinicians by identifying and reporting potential issues such as missing reports, staffing shortages, double bookings, or unmarked holidays and meetings in the diary.
