About the Role
An exciting Band 3 Patient Access Coordinator opportunity has arisen to join the Outpatients Booking Team at Guy's site within Guy's and St Thomas' NHS Foundation Trust. You will work in a fast-paced environment providing the best front of house patient experience to all patients and visitors. Key responsibilities include organising clinics, updating the patient database, liaising with GPs and other health workers, and carrying out general administration duties. You will act as a key liaison between doctors, nurses, allied health professionals, managers, and patients, ensuring clinical teams are supported by knowledgeable administrative staff and patients receive timely, appropriate appointments according to their care pathway.
The role requires excellent verbal communication skills, strong customer care, and the ability to develop effective working relationships across a wide range of people. A mature attitude, good problem-solving abilities, and a flexible, can-do approach are essential.
The Patient Access Coordinator will be the first point of contact for patients and service users, providing in-depth knowledge of outpatient and inpatient scheduling procedures for their speciality. Duties include scheduling outpatient and elective admissions, liaising with patients to agree convenient appointment times, sending reminders, and ensuring departmental standards for patient notifications are met. The post holder will also provide clinic reception cover, scheduling functions, general administrative support, and telephone cover on a rotation basis during operational hours.

Experience
- Proven experience in an administrative role demonstrating competent data collection and data quality
- Experience handling confidential documents and information
- Experience working in a customer-focused environment, able to manage difficult customers and challenging situations
- Ability to work autonomously and as part of a team

- Excellent communication skills with the ability to relate to diverse professional staff and the public
- Clear written, face-to-face, and telephone communication skills, including conveying sensitive information tactfully
- Excellent organisational skills with the ability to prioritise workload and meet tight deadlines
- Proficient IT skills, including Microsoft Word, Excel, and Outlook
- Ability to work on own initiative with minimal supervision

Qualifications
- Good general education with English and Maths to GCSE standard or equivalent
- Relevant NVQ Level 3 or equivalent qualification or experience
Desirable
- IT qualification or training such as European Computer Driving Licence (ECDL)
- Customer service qualification or training
- Knowledge of medical terminology
- Experience in an administrative role within the NHS
- Knowledge of key waiting times targets including 18 weeks
- Knowledge of Trust hospital systems
