The R&D Office and Reception Administrator will provide high-quality reception and administrative support to the Research & Development (R&D) Department. This role involves overseeing reception duties, managing the R&D Reception Administrator (Band 3), and supporting the smooth operation of the department. Key responsibilities include greeting visitors, booking and organising meeting rooms, coordinating research events and meetings within the NIHR Research & Development Department and NIHR Clinical Research Facility, maintaining databases and accurate records, and delivering excellent customer service.

The post holder will also provide AV/IT support, assist with minute taking, manage large events for directors and executives, and generate income through managing external events when room availability permits. The role requires occasional independent working and operational cover across different floors of the department.

The R&D Department is a focal point for innovative research in London, with strong partnerships across the National Institute for Health Research (NIHR), Department of Health & Social Care, and Health Research Authority. The Trust leads nationally in the number of NIHR portfolio studies and participant recruitment, with a substantial research budget and active involvement in commercial clinical trials and applied research collaborations.

Requirements

Experience
- Experience in administration roles, preferably within clinical or academic research settings, providing first-class support services
- Experience using and setting up IT and AV equipment
- Good diary management skills including organising meetings and minute taking
- Desirable: Experience working in a multidisciplinary department or busy office environment
- Desirable: Experience using office procurement systems such as Oracle or equivalent
- Desirable: Ability to prioritise and meet tight deadlines

About you
- Excellent organisational skills and attention to detail with the ability to manage multiple tasks simultaneously
- Strong computer skills including proficiency with IT systems and web-based applications such as Outlook, Microsoft Word, and Excel
- Good standard of written and spoken English
- Desirable: Enthusiastic approach to working in a dynamic and diverse research environment
- Desirable: Ability to work independently without direct supervision

Qualifications
- Good general education including GCSE English Language and GCSE Maths (or equivalent) at Grade C or above
- Relevant administrative experience or equivalent substantial experience in administrative roles
